**Job Title**:Office Assistant

**Reports to**:Regional Sales Manager

**Location**: Mumbai

**Overview**
- **Responsibility**
- Maintaining the expense report for monthly petty cash.
- Coordinating with all the relevant vendors and internal teams for services required and payments and approvals.
- Maintaining all the bills & documents for audit/record purpose.
- Thoroughly verifying all the logistics bills and submit it to account for the further payment process without any delay with proper documentations
- Provide support for our customers and sales and service teams
- Preparing Generator and service contract quotes
- Update data base every quarter by coordination with sales team
- Coordinate with customer and internal team for getting necessary documents and ensuring shipments of orders in time
- Generate and compile monthly and weekly data / reports through Excel / CRM.
- Respond to incoming customer requests - same day / next day turnaround is expected.
- Responsible for order processing in coordination with HO and escalation of commercial or paperwork issues till resolution.
- Maintain documentation and filing for all the customer communications and purchase order.
- Payment follow up
- Maintain stocks in regional office and sending monthly update to HO and as well reconciliation with Local Engineer van stock data.
- Proper keeping the records of each inventory.
- Preparing challans and communicating with customers and channel partners for demo units
- Maintaining Inventory sheet - with Outward & Inward data.
- Ensure proper packing of each material while couriering to customers or engineers or other regional offices.
- Tracking all shipments.
- Keeping POD of all deliveries and sharing with concerns timely.
- Verification and submission of courier reports.
- Timely Payment of the office vendors and service providers.
