Logistics Executive

**Position: Transport Coordinator**

**Location**: Surat

**Working Hours**: Monday to Friday, 10:00 AM to 7:00 PM; Saturday, 10:00 AM to 5:00 PM (with flexibility for late evenings as needed)

**Key Responsibilities**:
1. **Daily Task Review**: Begin each day by reviewing all pending shipments from the previous day.Ensure coordination with the warehouse team to confirm goods are packed and ready for dispatch on time.

2. **Internal Coordination Meetings**:Attend a daily meeting with the sales and warehouse teams to align on shipment schedules and discuss any potential issues.

3. **Customer and Vendor Liaison**: Communicate with customers to identify their preferred transport companies, or suggest alternatives when necessary.Provide detailed parcel information (dimensions, weight, etc.) to transport companies to receive accurate rate quotes.Negotiate and finalize rates with transport companies, ensuring the best deals for the company.

4. **Pre-dispatch Confirmation**: Before dispatching goods from the warehouse, confirm space availability with transport companies to avoid delays and extra costs.If space is unavailable, coordinate with the transporter to arrange an alternative dispatch time to ensure efficient delivery.

5. **Dispatch Execution**: Once the transport company is confirmed, communicate all parcel details (dimensions, weight, etc.) and verify them with the transporter before dispatch.Ensure goods are packed and dispatched in coordination with the warehouse team.Take photographs of the parcels before dispatch and share them with both the transport company and the customer.

6. **Bill of Lading (BL) Management**: Collect BL from the transport company and promptly deliver it to customers for each shipment.

7. **Goods Tracking and Monitoring**:Track the status of goods in transit and provide regular updates to customers.Monitor the performance of transport companies, particularly their efficiency and delivery times, ensuring quality service for customers.

8. **Problem Solving and Process Control**: Oversee the entire transport process, resolving delays or unforeseen issues that may arise.Take full responsibility for completing the task, even if transport procedures extend into late evenings.

9. **Transport Vendor Performance Evaluation**: Regularly assess transport companies for reliability, delivery speed, and service quality.Suggest and implement improvements to ensure better service and cost efficiency.

10. **Transport Company Database**: Create and maintain a detailed database of transport companies, including their areas of service and transport rates.Ensure this database is accessible to the sales team, enabling them to provide customers with accurate information on transport availability and pricing.

11. **Secrecy and Data Protection**: Maintain strict confidentiality regarding sensitive company information.Ensure that documents such as invoices, packing lists, and customer details are only shared with necessary parties, like transport companies, where absolutely required.Protect company data and prevent unauthorized access to confidential information.

7. **Vendor Evaluation**: Assess and improve transport companies’ efficiency and service quality.

8. **Database Maintenance**: Maintain a transport company database for easy reference on city coverage and rates.

9. **Problem Solving**:Oversee the entire process and resolve any delays, even when things run late.

**Qualifications Required**:
1. **Education**: A high school diploma or equivalent is required. A degree or diploma in logistics, supply chain management, or a related field would be a plus.

2. **Experience**: 2-3 years of experience in logistics, transport coordination, or supply chain roles.Familiarity with coordinating shipments, dealing with transport companies, and managing delivery processes is essential.
