**Required Competencies**
- Strong knowledge of vehicle registration processes, RTO regulations, and compliance requirements.
- Excellent organizational and time management skills.
- Proficiency in documentation, record-keeping, and familiarity with online RTO portals.
- Good communication skills to interact with customers, RTO officers, and internal teams.
- Problem-solving ability and attention to detail for handling registration-related discrepancies.
**Key Tasks and Responsibilities**1. **Vehicle Registration Coordination**
- Collect all required documents from customers for vehicle registration (e.g., ID proof, address proof, insurance, tax receipts).
- Verify and ensure completeness of customer-provided documentation as per RTO guidelines.
2. **RTO Process Management**
- Submit the necessary forms and documents at the RTO for registration, road tax payment, and issuance of registration certificates.
- Follow up with RTO authorities to track the progress of pending registration requests.
- Resolve any queries or issues raised by the RTO during the registration process.
3. **Customer Support and Communication**
- Keep customers informed about the registration process, expected timelines, and any additional requirements.
- Address customer queries and concerns related to vehicle registration with clarity and professionalism.
- Deliver registration certificates, license plates, and other documents to customers promptly.
4. **Documentation and Record-Keeping**
- Maintain accurate and updated records of all registration-related transactions.
- Ensure proper filing of registration documents (physical and digital) for future reference and audits.
- Prepare and submit reports on completed and pending registrations to the sales manager.
5. **Compliance and Legal Adherence**
- Stay updated with changes in RTO regulations, vehicle registration policies, and legal requirements.
- Ensure compliance with all government guidelines for vehicle registration and taxation.
- Conduct periodic audits of registration processes to ensure zero lapses in compliance.
6. **Coordination with Sales Team**
- Work closely with the sales team to prioritize registration tasks based on delivery deadlines.
- Provide timely updates to the sales team about the status of vehicle registrations.
- Assist the sales team with resolving registration-related issues that impact deliveries.
7. **Temporary Registration Support**
- Generate and issue temporary registration numbers for new vehicles as required.
- Coordinate the extension or cancellation of temporary registrations based on customer needs or delays in permanent registration.
8. **Vendor and Agent Coordination**
- Liaise with RTO agents and third-party vendors to expedite the registration process.
- Negotiate and manage vendor agreements to ensure cost-effective and reliable services.
- Monitor the performance of external agents and resolve issues related to their services.
9. **Delivery Assistance**
- Ensure all vehicles are registered before delivery to customers, avoiding delays.
- Verify that the registration number is affixed on the vehicle prior to handover.
- Support the delivery process by briefing customers about their vehicle's registration documents.
10. **Issue Resolution**
- Investigate and resolve discrepancies in registration details, such as incorrect owner information or mismatched chassis numbers.
- Provide solutions for duplicate RC (Registration Certificate) issuance in case of loss or damage.
- Manage customer grievances related to registration delays or errors with a customer-focused approach.
