**Indian Subsidiary**
- Clinisupplies India Pvt Limited (CSIPL) is a wholly-owned subsidiary of Clinisupplies Ltd, UK. CSIPL operates a state-of-the-art manufacturing plant located in Kunigal, near Bangalore, Karnataka, ensuring localised production to meet demands effectively. Additionally, CSIPL has established two corporate offices to support its operations across India: one in Bangalore, Karnataka, and another in Indore, Madhya Pradesh.
- Role summary
- The Facilities Assistant is a dual-role position, responsible for managing day-to-day office operations and supporting human resource activities to ensure a smooth and productive workplace environment. This individual serves as a key point of contact for facility-related needs while also contributing to HR processes, fostering a positive and efficient workplace culture.
- Key Responsibilities

**Office Management**
- Oversee the smooth functioning of office operations, ensuring all facilities are maintained and office supplies are stocked
- Manage vendor relationships and negotiate contracts for facilities services (e.g., cleaning, security, HVAC)
- Coordinate with vendors and service providers for office maintenance and procurement
- Ensure compliance with office policies and procedures
- Reception and Visitor Management

**Documentation and Record Management**
- Maintain and manage important company documents, files, and records in both digital and physical formats
- Ensure confidentiality and security of sensitive information
- Oversee the proper archiving and retrieval of records

**Communication and Coordination**
- Act as a liaison between senior management and staff to ensure smooth communication and coordination across departments- Organise meetings, conferences, and events for internal and external stakeholders

**Budget Management**
- Monitor facility-related budgets, ensuring cost-effectiveness and avoiding overruns
- Assist in preparing and managing the administrative budget, ensuring cost-effective solutions and resource utilisation
- Monitor expenses related to office supplies, utilities, and administrative operations

**Compliance and Legal Requirements**
- Ensure that the organisation complies with all relevant legal and regulatory requirements
- Coordinate with HR for any employee-related documentation and compliance

**Travel and Logistics**
- Coordinate travel arrangements for staff and management, including booking flights, accommodations, and transportation
- Manage logistics for business trips, conferences, and events

**Health and Safety**
- Ensure a safe and healthy work environment by adhering to safety standards and company policies
- Organise safety training and ensure that staff are aware of emergency procedures
- Experience Required
- Education: Bachelor’s degree in any field. (Preferably in Business Administration, Office Management, or related fields)
- Experience in administrative roles
