Overview:
STATEMENT:
This particular role - Officer - Admin & Facility is expected to perform:
- Individual should demonstrate the ability to manage a large amount of requests related to Air, ground transport and should be able to provide support within team for a required responsibility.
- Perform tasks of general Admin & facility related office upkeep and maintenance, keeping record and control of them.
- Perform all preventive and maintenance as per statutory and regulatory compliances in accordance with Company Regulations.
DETAILED RESPONSIBILITIES:
- Conduct inspection tours of facilities and general maintenance services.
- Evaluate service level vendors and generate monthly meetings with vendors.
- Responsible for operation logs, reports, routines, parameter measurements and services in general that will be reported to the administrative supervision of the department including the control of daily consumable materials.
- Manage and assign maintenance and operation tickets requested by users.
- Generate monthly ticket charts and metrics.
- Effectively coordinate & work with team members, cross-functional teams.
- Access points management -To handle multiple requests in one go.
- Costing - Work with various BU’s to understand and operate within the allocated budget..
- Strategic - To analyze the cost differences and take a decision as per company policy
- Maintaining all TAF, TAF approvals, MIS and other related documents reports.
- Air & Ground transport related invoice processing with proper MIS/data & reports.
- Compliance & Audit - Ensure compliance requirements as per the statutory norms and company policy.
- Manage the end-to-end process of invoice processing, ensuring accuracy and adherence to financial protocols.
- Initiate and manage timely follow-ups on pending payments, resolving any discrepancies and ensuring prompt settlement.
REQUIRED QUALIFICATIONS:
Bachelor's degree or higher in Admin & Facility Management, Logistic /Transport Administration.
**Skills**:
- Commanding verbal communication skills in Hindi, English & Kannada (regional language) with ability to connect with employees, vendors.
- Multi-tasking team player, problem-solving skills Proven experience,
- Excellent time management skills and strong ability to multitask and prioritize.
- Knowledge of IATA will be preferred, but not a necessity.
Languages:
English, Hindi & Kannada (Regional language)
**Experience**:
Minimum of 2 to 4 years operational experience in Administration background and should have knowledge in both facility & logistic support (bachelor’s degree in Facility Management, Business Administration, or a related field)
**Education**:
- Bachelor’s degree in Admin & Facility Mgmt./Logistic areas.
