**Back Office Assistant**
As a Back Office Assistant at our event company, you will provide essential administrative support to ensure the smooth functioning of our operations. Your proficiency in fluent English and presentation skills will be crucial for creating compelling presentations and assisting with various back-office tasks. Your attention to detail and organizational abilities will contribute to the efficient execution of our events and business processes.
**Key Responsibilities:Presentation Creation**:
Utilize your strong presentation skills to create visually appealing and informative presentations for client meetings, internal briefings, and marketing purposes.
Work closely with team members to gather content, data, and visuals, and transform them into engaging presentations.
Administrative Support:
Assist in managing and organizing office documentation, files, and records.
Handle data entry tasks, including updating client and vendor information in our systems. Prepare and format documents, reports, and spreadsheets as needed.
Communication Skills:
Maintain clear and timely communication with clients, vendors, and team members.
**Coordination and Scheduling**:
Assist in scheduling appointments, meetings, and events, ensuring all parties are informed of details. Coordinate logistics for internal and external meetings, including room setup and refreshments.
Inventory Management:
Help manage inventory and supplies for the office, ensuring that necessary items are available when needed.
Liaise with suppliers and vendors to ensure timely procurement of office essentials.
Document Preparation:
Prepare contracts, agreements, and other legal documents under the guidance of relevant team members.
Ensure accuracy and compliance with company standards.
Research and Data Collection:
Conduct research on industry trends, competitors, and market insights to support decision-making. Collect data and information for various reports and presentations.
Multitasking and Prioritization:
Juggle multiple tasks and projects efficiently while maintaining a high level of attention to detail. Prioritize tasks based on urgency and importance to meet deadlines effectively.
Qualifications and Skills:
Bachelor's degree or equivalent experience in a relevant field. Excellent verbal and written communication skills in English.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and presentation design tools. Strong organizational and time management skills.
Detail-oriented mindset with a commitment to accuracy.
Ability to work independently and collaboratively in a team environment. Positive attitude, adaptability, and a willingness to learn.
Prior experience in office administration, presentation design, or event industry is a plus.
