**Key Responsibilities**:
**1. Front Desk Management and Visitor Assistance**
- Greet, welcome, and direct visitors with a friendly and professional attitude, creating a positive first impression.
- Ensure visitors feel comfortable and are informed of any wait times or necessary protocols.
**2. Visitor and Personnel Coordination**
- Notify appropriate personnel of visitor arrivals promptly, helping maintain smooth visitor flow.
- Maintain a detailed visitor log and manage visitor badges to ensure security and access control.
**3. Material Records and Documentation**
- Accurately record and track inbound and outbound materials, coordinating with
- internal departments for proper documentation and handling.
- Oversee courier services, including receiving and dispatching packages, and maintain tracking records for materials.
- Inbound of Materials and maintaining database
- Work closely with the inventory Team to ensure the proper maintenance of data.
- Well equipped with ERP softwares like Odoo, SAP or equivalent
**4. Reception Area Management and Compliance**
- Maintain a clean, safe, and professional reception area by adhering to company rules and safety standards.
- Conduct regular checks of the reception and waiting areas, ensuring they are well-organized, stocked, and presentable at all times.
**5. Administrative and Office Support**
- Assist in general administrative duties, including answering calls, handling inquiries, forwarding messages, and scheduling appointments.
- Manage inventory for office supplies, ordering when necessary to ensure the front desk and other office areas are adequately stocked.
**6. Customer Service and Communication**
- Serve as a liaison between visitors, clients, and internal teams, fostering a customer-focused approach to interactions.
**7. Event and Meeting Support**
- Assist with coordinating meeting room bookings, ensuring rooms are prepared for meetings and presentations.
- Help organize and facilitate company events, welcoming participants and managing any visitor requirements.
**Qualifications**:
- High school diploma or equivalent; certification in Office Administration or a related field is an advantage.
- Experience in a reception, customer service, or administrative role is preferred.
- Strong written and verbal communication skills to interact effectively with visitors, clients, and staff.
- Proficient in MS Office (Word, Excel, Outlook),/ G-suite with the ability to learn new systems quickly.
**Required Skillset**
- **Professional Appearance**: Maintain a professional and polished appearance at all times. As the first point of contact for clients, visitors, and staff, a well-groomed and business-casual dress code is expected.
- **Multitasking Ability**: Capable of managing multiple tasks and prioritizing effectively.
- **Attention to Detail**:Strong organizational skills with keen attention to details, especially when handling visitor records and materials.
- **Customer Service**: Demonstrated ability to handle customer inquiries with patience, professionalism, and a positive attitude.
