Position Overview:
The Executive Assistant provides high-level administrative support to the executive team or senior management within the organization. This role involves managing schedules, coordinating meetings, handling correspondence, and assisting with various administrative tasks to ensure smooth operations and effective communication within the organization.
Key Responsibilities:
- Calendar Management:
- Manage and prioritize the executive's calendar by scheduling meetings, appointments, and events.
- Coordinate with internal and external stakeholders to ensure efficient use of time and resources.
- Anticipate scheduling conflicts and proactively resolve them to maintain productivity.
- Meeting Coordination:
- Arrange and organize meetings, including booking conference rooms, preparing agendas, and distributing meeting materials.
- Attend meetings as required, take accurate minutes, and distribute follow-up action items to relevant parties.
- Coordinate logistics for virtual meetings, including video conferencing setup and technical support.
- Communication and Correspondence:
- Serve as a liaison between the executive and internal/external stakeholders, maintaining professionalism and confidentiality at all times.
- Travel Arrangements:
- Coordinate travel arrangements, including flights, accommodations, transportation, and itineraries for business trips.
- Prepare travel expense reports and reconcile receipts in a timely manner.
- Administrative Support:
- Perform general administrative tasks such as filing, photocopying, scanning, and data entry.
- Manage and maintain office supplies, equipment, and inventory as needed.
- Assist with special projects, presentations, and research assignments as assigned by the executive team.
- Relationship Management:
- Build and maintain positive working relationships with team members, clients, vendors, and other stakeholders.
- Serve as a point of contact for inquiries and requests directed to the executive, exercising discretion and professionalism in all interactions.
Qualifications:
- Bachelor's degree preferred, with a minimum of [X] years of experience in an administrative role supporting senior-level executives.
- Proven proficiency in calendar management, meeting coordination, and travel arrangements.
- Excellent organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.
- Strong communication skills, both written and verbal, with meticulous attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity software.
- Discretion and confidentiality in handling sensitive information and matters.
- Ability to work independently with mínimal supervision while also functioning effectively as part of a team.

**Salary**: ₹20,000.00 - ₹30,000.00 per month
