We are looking for receptionist for Parul University. A receptionist at a university, your role is crucial in providing a welcoming and efficient environment for students, faculty, staff, and visitors. You will be responsible for handling various administrative tasks, coordinating communication, and ensuring a positive experience for everyone who interacts with the university's reception area. The specific duties and responsibilities may include the following:
**Responsibilities**:
- Greeting and assisting visitors, providing information, answering inquiries, and directing them to the appropriate departments or individuals.
- Managing incoming calls, routing them to the right staff or departments, taking messages, and providing general information to callers.
- Coordinating appointments and meetings, scheduling and managing meeting calendars, and ensuring availability of required equipment and resources.
- Supporting student services by assisting students with inquiries, directing them to relevant offices, and providing information on campus resources.
- Maintaining visitor logs, recording visitor information, ensuring sign-in and sign-out procedures are followed for security purposes.
- Managing mail and packages, receiving and distributing incoming mail, notifying recipients, and tracking outgoing mail.
- Providing general administrative support, including data entry, filing, photocopying, scanning, and document preparation while maintaining confidentiality.
- Assisting with event coordination, helping plan and execute university events, coordinating logistics, guest registration, and providing event information.
- Liaising with various university departments, facilitating effective communication and serving as a point of contact for information dissemination.
- Upholding safety and security by following protocols, monitoring access, issuing visitor badges, and reporting any security concerns promptly.
Qualifications and Skills:
- Minimum graduation required (Fresher’s can also apply).
- Excellent communication skills, both verbal and written.
- Strong interpersonal skills and the ability to provide exceptional customer service.
- Proficiency in using office equipment, such as telephone systems, computers, and printers.
- Excellent organizational skills and the ability to multitask effectively.
- Attention to detail and accuracy in administrative tasks.
- Ability to handle sensitive and confidential information with discretion.
- Prior experience as a receptionist or in a customer service role is desirable.
- Knowledge of university procedures, services, and campus layout is a plus.
**Salary**: ₹20,000.00 - ₹25,000.00 per month
