Position Overview: The Accounts Assistant plays a crucial role in providing support to the accounting and finance department of an organization. They are responsible for performing various administrative and clerical tasks to ensure accurate financial records and efficient financial operations. The role requires attention to detail, strong organizational skills, and a solid understanding of basic accounting principles.
Key Responsibilities:
Maintain Financial Records: Assist in maintaining accurate financial records by recording transactions, verifying and reconciling entries, and organizing supporting documentation.
Accounts Payable and Receivable: Process invoices, purchase orders, and expense reports. Prepare and issue payments to vendors, suppliers, and employees. Monitor accounts receivable and follow up on outstanding payments.
Bank Reconciliation: Perform bank reconciliations by comparing internal records with bank statements, identifying discrepancies, and resolving any issues.
General Ledger Maintenance: Assist in updating and maintaining the general ledger by posting journal entries, preparing trial balances, and assisting with month-end and year-end closing procedures.
Expense Management: Review and verify employee expense reports for accuracy and compliance with company policies. Process reimbursements and ensure timely payments.
Financial Reporting: Assist in the preparation of financial reports, including income statements, balance sheets, and cash flow statements. Compile data and assist with analysis as required.
Documentation and Filing: Maintain organized and up-to-date financial files and documentation, ensuring they are easily accessible for audit purposes.
Administrative Support: Provide general administrative support to the accounting department, such as answering phone calls, responding to inquiries, and managing correspondence.
Compliance and Regulations: Ensure adherence to financial policies, procedures, and relevant regulations. Stay updated with accounting standards and regulations to ensure compliance.
Collaborative Approach: Collaborate with cross-functional teams, such as procurement, sales, and operations, to gather relevant financial information and support decision-making processes.
Qualifications and Skills:
- High school diploma or equivalent qualification; a degree in accounting, finance, or related field is preferred.
- Proven experience as an accounts assistant or in a similar role.
- Basic understanding of accounting principles and procedures.
- Proficiency in using accounting software and MS Office (particularly Excel).
- Strong attention to detail and accuracy in data entry and calculations.
- Excellent organizational and time management skills.
- Effective verbal and written communication abilities.
- Ability to handle confidential information with discretion.
- Strong problem-solving skills and ability to work independently or as part of a team.
