Billing & Accounts Executive

**Job Summary**:
**1. Order Management & Processing**
- Receive, review, and process customer orders after verifying POs, credit limits, and stock availability.
- Enter orders accurately in ERP, securing necessary approvals and allocations.
- Serve as primary customer contact for order-related queries, lead times, product availability, and escalations. the logistics team is not responsible for primary contact.
- Maintain order status, backlog, and fulfillment reports to identify bottlenecks and drive improvements.
**2. Billing & Tax Compliance**
- Prepare and issue GST-compliant tax invoices and e-way bills in line with shipment timelines.
- Maintain accurate billing records and supporting documentation in ERP.
- Monitor billing accuracy, report discrepancies, and minimize disputes.
**3. Dispatch Coordination & Customer Communication**
- Prepare dispatch documentation and send pre-alerts to customers.
- Coordinate with warehouse and logistics teams to ensure timely, accurate deliveries.
- Track shipments, address delivery queries, and resolve discrepancies, damages, or returns.
- Maintain delivery performance metrics including OTD and exception tracking. logistics is not responsible for this
**4. Inventory Management**
- Maintain real-time inventory records in ERP, tracking all movements and adjustments.
- Monitor stock levels, flag replenishment needs, and prevent stock outs or overstocking.
- Generate inventory accuracy, turnover, and aging reports to support optimization.
**5. Reporting & Cross-Functional Coordination**
- Share periodic reports on fill rates, OTD, billing accuracy, logistics timelines, and inventory status.
- Collaborate with sales, accounts, warehouse, and logistics teams for smooth operations.
- Provide escalation reports on delays, risks, or discrepancies for management review.
**Key Skills**
- Strong GST compliance knowledge and tax invoice handling.
- ERP/accounting software proficiency (Tally, SAP, Zoho, etc.).
- Accuracy in billing, documentation, and reconciliation.
- Effective cross-functional coordination and time management.
- Problem-solving mindset for operational discrepancies.
- Basic inventory management knowledge.
**Qualifications**
- Graduate in Commerce, Business Administration, or related field.
- 2-4 years’ experience in billing, dispatch documentation, or inventory management (FMCG/Food & Beverage preferred).
- Working knowledge of GST, e-way bills, and tax compliance.
- Proficiency in MS Excel and ERP systems.
Pay: ₹20,000.00 - ₹25,000.00 per month
