Executive - Operations (Ff)

**Role: Export Operations (Band 2 - Team Member)**

**Location: Mumbai**

The global Freight Forwarding operations of **DP World **is looking for a passionate and enthusiastic individual to contribute to the global initiative at **DP World **in capacity of an team member for Freight & Forwarding back office operations. This role will report into supervisor, FF operations in India and functionally collaborate with stakeholders across the regions. It is a combination of team & process lead as well as Individual contributor role.
- Key ResponsibilitiesThe Team member is responsible to handle one or more of the following tasks:

- Receive shipments from Customer Management.
- Review and process shipments / bookings
- Arrange Carrier booking
- Coordinate transport
- Coordinate Customs handling
- Coordinate and support Shared Service activities, where applicable
- Arrange house BL or carrier BL in time
- Submit pre-alert for HBL’s
- Ensure job files are always complete and correct, including milestones and additional documents,

preferably electronically
- Exception handling and reporting statuses and exceptions to CS, supporting CS in finding solutions and alternatives when needed.

**Role Responsibilities**
- **Receive booking and Plan Shipment**
- Ensure job is complete and correct, if not: act or escalate
- Plan shipment as per instruction
- Book with Carrier as per allocation Confirm booking with Carrier and issue booking confirmation
- **Receive Cargo and Arrange VAS services**
- Co-ordinate cargo receipt for LCL shipments
- Create / Update load plan for shipments in the system
- Create/Send Self Delivery Instruction to Customer Management as applicable
- Instruct MCT operator for pickup arrangement Execution of the Delivery Proposal
- **Receive & prepare Shipping documents**
- Receive & Prepare Shipping Instructions
- Update systems and create draft HBL/ MBL & send for verification
- Amend HBL/MBL if required and prepare the final HBL/MBL
- Create and send draft house bill of lading
- Send shipping instructions to carrier
- Ensure Draft carrier BL is checked and approved
- Receive final carrier bill of lading from carrier
- Select and submit jobs for pre-alert
- Send AMS/ACI or other required filings Request invoice from Carrier and forward to Operational Accounting for processing
- **Data quality & SOP’s**
- Ensure integrity of data entered into systems.
- Update milestones in systems
- Upload E-Docs in system
- Follow-up with Customer Management teams for resolution of issues/queries + ensure timely response to customer Update, maintain and create customer specific SOPs
- **Exception handling**
- Handle all exceptions during and after shipment execution
- Ensure proper information to all parties involved Solve exception or assist in resolution**Must - Have Technical Skills and Experience**
- More than 2 years of experience Forwarding / Supply Chain operations / shipping business
- Passion for problem-solving and tenacity to resolve challenging situations.
- Strong conviction, open to consider alternative points of views.
- Strong change agent; effective communicator, well respected by peers & subordinates.
- Excellent communication and interpersonal skills.
- Ability to deal with high levels of ambiguity and perform under time pressure
- Self-starter and self-motivated requiring little support from others.
- Manage overview of inbound and/or outbound shipments, ensuring all necessary steps including booking, documentation, ETA tracking, release, customs, transportation are done in a timely fashion
- Managing various updates in planning system, taking responsibility for the data integrity
- Develop strong understanding of customer needs through building a close relationship
- Identify areas of improvements and actively supporting the implementation of agreed improvements, products and systems
- Maintain a commercial and cost-optimization focus,
- Respond to ad hoc situations and deliver best in class solutions

**Good to have skills**
- Fluent in English

- Thorough understanding of key events and players in the logístical import & export flow
