Key Responsibilities:
- **Greet Visitors**: Warmly welcome and assist clients, visitors, and vendors upon arrival.
- **Answer and Direct Phone Calls**: Handle incoming calls, respond to inquiries, and route calls to the appropriate departments.
- **Manage Front Desk Operations**: Maintain the reception area in a tidy and organized manner, ensuring that all materials are up-to-date.
- **Schedule Appointments**: Coordinate meetings, appointments, and bookings for employees and visitors.
- **Mail and Courier Services**: Sort, distribute, and manage incoming and outgoing mail, packages, and deliveries.
- **Administrative Support**: Assist with basic administrative tasks such as data entry, filing, photocopying, and managing office supplies.
- **Visitor Log**: Maintain accurate records of visitor details, ensuring adherence to security protocols.
- **Collaboration**: Work closely with other departments to ensure smooth front office operations and timely communication.
Required Qualifications:
- **Education**: High school diploma or equivalent required; an associate’s degree or relevant certification is a plus.
- **Experience**: Previous experience in a receptionist or customer service role is preferred.
- **Skills**:
- Strong verbal and written communication skills
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to multi-task and manage time effectively
- Excellent organizational skills and attention to detail
- A professional and friendly demeanor
