**Key Role & Responsibilities**:

- **Office Management**:

- 1. Office Upkeep, Cleaning, Pantry, Repair & Maintenance & Security Supervision - Conventional, Managed and Co-working.
- 2. Onboarding and Deboarding of employees on real time basis in sync with HR.
- 3. Asset Management - Tracking purchase of new assets, depreciation and disposal.
- 4. Vendor management - All AMC for building repair & maintenance. Local market purchase such as meals, furniture, pantry supplies and misc items.
- 5. Manpower management - Third Party Compliance
- Attendance, PF & ESIC including statutory audits.
- 6. Security Attendance and Timing. All records management such as employee in/out, Materials movement in/out, courier and visitors movement coordination at Smartworks level. Lost & found supervision.
- 7. Finance and accounting coordination - Raising purchase request for office supplies and processing payment. Monthly reconciliation.
- 8. Event Management - Townhall, Outing, Health camp, Annual Celebration, induction program, and Employee’s Family get together, etc.
- 9. Inventory Management - Prepare reports, analyse, and interpret results to improve overall performance on a weekly and monthly basis on the cost involvement by the company.
- 10. Fire Drill and Safety precautions for office which includes Covid Protocols and Medical Emergency response.
- 11. Meeting Room Setup with VC and essential items.
- 12. Vending Machine Functioning. Ensuring adequate supplies is kept. Timely availability and refilling.
- **Facilities Management**:

- 1. Reception Arrangements - Floral Arrangements, Newspaper & Magazines, Tea & Coffee for guests and visitors.
- 2. Courier - Domestic and International, overseeing the sorting and distribution of incoming mails. Preparing outgoing mail items such as envelopes or packages.
- 3. Meeting Rooms Management - Upkeep and supervision of all audio video equipment’s, stationery and booking/cancellation.
- 4. Operating office equipment such as photocopier and printers.
- 5. Stock Taking of Office Stationery, Pantry Supplies, Merchandise and other department related assets.
- 6. Visitors Management System - Managing tools and keeping record for retrieval.
- 7. Issuance of Photo ID Card, Access Card and other employee welfare related coupons etc.
- **Travel Management**:

- 1. Managing Employee Self Booking MMT Portal
- On-boarding employees, itinerary management, handling compliant and providing clearance by removing a user from portal.
- Invoice processing by coordinating with accounts payable and monthly reconciliation.
- 2. Offline Travel Management Company supervision - To coordinate bulk bookings, inter city movements, international travel arrangements etc.
- 3. Spot Rental Cabs - Bookings, cancellation, Invoice processing and monthly reconciliation.
- 4. Passport, Visa Processing and Airport Escort coordination with TMC
- 5. Other ancillary services related Bus & Train booking for adhoc travel requirements with help of company cards.
- 6. To support employee 10 days relocation - Hotel stay, flight bookings on approval by Head HR and HOD.
- 7. To help Groww employees with house search, hotel stays, movements and other misc services.
