Assistant Manager - Purchase 

AREAS OF RESPONSIBILITY

 §To ensureclose liaison and co- ordination with F & B Department, Housekeeping, Engineeringetc. for meeting their needs.

§ To studythoroughly the items needed to purchase and to have sufficient knowledge aboutthem and their use.

§ To ensuresupply of merchandise for various departments keeping in mind the ‘lead time’required for procurement.

§ To processand keep track of every purchase requisition, purchase order, contract forregular supplies, upkeep and maintenance of these supplies and lists forkitchens for daily perishables and other standing order requirements.

§ To sort outthe requirements into- top priority (immediate action), urgent (required inless than half the lead time) and normal (within the lead time)

§ To ensureconformity to standards and specifications of merchandise as required by themanagement.

§ To ensurethat the requisitions from the originating department are routed through properchannels.

§ Toconstantly endeavour to obtain goods at competitive prices without sacrificingthe desired quality standards.

§ To maintainproper planning and control systems by filing of different purchase orders inserial order- department wise, lead time demarcation for each item and stateddelivery time for each item.

§ Preparationof contracts and their terms, use of proper signatures and stamp papers as perexisting laws, notation of expiry of contract period, and advertising throughlocal papers to invite tenders etc.

§ To ensurethat store inventories do not exceed desired limits.

§ To keeptrack of capital items ordered and keep track of their timely delivery.

§ Ensuringthat items ordered have complete billing and delivery instructions and in caseof default that, ‘penalty’ clauses are suitably added to the purchase orders asper the demand of the items.

§ Keepingtrack of the Performa invoice, dates of cheque submissions and keeping closeliaison with accounts department for clearing documents etc. in time.

§ To maintainfollow- up files

§ To keep himup- to- date on the purchase function and the market situation.

§ To scanthrough the purchase requisitions originated by the stores section for regularstores items and other items and select the vendors/ suppliers for the items,and also advise them of the receiving times, place of delivery, packing etc.

§ Givespersonal attention, takes personal responsibility and uses teamwork whenproviding guest service

§ Listens,apologizes with empathy, finds a solution and follows through when resolvingguest problems

§ Provides YesI Can genuine hospitality and teamwork on an ongoing basis

§ Assumes theresponsibility to notice when the guest is not satisfied and uses their bestjudgment as to when it is appropriate to use the 100% Guest Satisfaction

§ Performs otherduties required to provide the service brand behavior and genuine hospitality

Adheres tohotel policies and procedures:

§ Keepsimmediate supervisor promptly and fully informed of all problems or unusualmatters of significance.

§ Performs allduties and responsibilities in a timely and efficient manner in accordance withestablished company policies and procedures to achieve the overall objective ofthis position.

§ Maintains afavourable working relationship with all other hotel employees to foster andpromote a co-operative and harmonious working environment.

§ At all timesprojects a favourable image of the Hotel to the public.

  REQUIREMENTS

 §Minimum 5-8 years experience in Purchasing department

§ 4 yearsexperience in hotel purchasing department

§ High schooldiploma required, bachelor’s degree in hospitality preferred

§ Excellentoral and written communication skills

§ Collaborateeffectively with other hotel employees and managers to ensure teamwork

§ Able toresolve conflicts guests, supervisor and employee

§ Ability tomultitask and work well under pressure

§ Basiccomputer skills in MS Office, reservation systems, and point of sales systems
