Manager – Export MIS On Roll/Off Roll/Contract: On Roll Age Group: 27 to 32 Years Experience: 5 to 10 Years Essential Qualification: Any Graduate Essential Area of Expertise: Invoice Review and Validation, Contract Compliance, Documentation and Reporting, Stakeholder Coordination, Payments and Reconciliations, Compliance and Audits, Process Improvement Desired Area of Expertise: Experience in export accounting within the logistics, manufacturing, or shipping industry, Familiarity with freight and demurrage/detention charges, Knowledge of global trade regulations and compliance standards Critical/Special Exposure: Billing Reco, MIS, Advance Excel Internal Interface (Designations) Supply Chain, Export Billing, Finance, Sales External Interface (Suppliers/Govt Bodies/Communities/Vendors ) Vendors, Shipping Line Reporting to: Senior Manager SCM Reportees (Function and Designation): None Purpose of the position We are seeking a detail-oriented and experienced Exports Accounting Personnel to join our team. The role involves handling the review of export invoices, ensuring accuracy in comparison with contracts, and maintaining financial records. The ideal candidate will ensure that invoicing is aligned with agreed contract terms, manage discrepancies, and work closely with both internal and external stakeholders to resolve issues. Roles and Responsibility Review export invoices and ensure their accuracy by comparing them against contracts and shipment details. Verify quantities, pricing, and terms stated on the invoices to match the contract agreements and shipping documents (Bill of Lading, Purchase Orders, etc.). Ensure all invoices are aligned with contract terms such as payment conditions, pricing structures, and delivery timelines. Identify discrepancies between invoices and contracts, and escalate any issues to relevant teams for resolution. Maintain accurate and organized records of all invoices and related documentation for auditing and reference purposes. Generate periodic reports on invoicing discrepancies, payments, and pending approvals for senior management. Liaise with internal departments (sales, logistics, and export teams) to resolve invoice discrepancies and ensure smooth payment processing. Coordinate with external stakeholders (customers, freight forwarders, shipping lines) to reconcile invoicing issues or clarifications. Assist in monitoring outstanding invoices and work with the finance team to ensure timely payments. Perform monthly reconciliation of shipments and invoices to ensure accuracy and resolve discrepancies. Ensure all invoicing processes adhere to internal policies, contract terms, and export regulations. Support internal and external audits by providing required documentation and explanations for transactions. Identify areas for improvement in the invoicing and review process and propose efficient workflows or system enhancements.
