Job Title : IT Procurement Executive

Location : Bangalore & Chennai

Shift Timing : 2PM to 11PM

Employment Type : Full-time (On-Site)

 

Job Summary :

The IT Procurement Executive is responsible for managing the procurement of IT hardware, software, and services to meet the organization’s technological and operational needs. This role involves sourcing, vendor management, contract negotiations, and ensuring cost-effective purchasing while maintaining quality and compliance standards.

Key Responsibilities : 1. Procurement Management:
  • Evaluate and identify IT procurement needs in collaboration with IT and business teams.
  • Source IT hardware (e.g., laptops, servers, network devices), software, licenses, and IT services.
  • Issue RFQs (Request for Quotations) and RFPs (Request for Proposals) to vendors.
  • Analyze vendor proposals, compare costs, and recommend the best options.
2. Vendor Management:
  • Develop and maintain relationships with IT vendors, suppliers, and service providers.
  • Negotiate contracts, pricing, and terms to ensure favorable agreements.
  • Evaluate vendor performance through KPIs and maintain an approved vendor list.
3. Budget and Cost Control:
  • Ensure procurement activities align with the allocated IT budget.
  • Identify cost-saving opportunities without compromising on quality or performance.
  • Report and monitor expenditure, and prepare cost analysis for IT purchases.
4. Compliance and Documentation:
  • Ensure compliance with organizational policies and procurement regulations.
  • Maintain accurate records of purchases, contracts, and invoices.
  • Ensure all software and hardware purchases comply with licensing agreements.
5. Coordination and Collaboration:
  • Work closely with IT, finance, and legal teams to ensure procurement alignment.
  • Coordinate with internal stakeholders to understand and meet their IT requirements.
  • Provide periodic updates on procurement activities to management.
6. Market Research and Trends:
  • Stay updated on market trends, pricing, and new IT technologies.
  • Recommend technology upgrades or procurement strategies based on market insights.
Key Skills and Competencies :
  • Technical Knowledge : Understanding of IT hardware, software, and services.
  • Negotiation Skills : Strong ability to negotiate favorable terms with vendors.
  • Analytical Thinking : Capability to analyze costs, proposals, and vendor performance.
  • Communication Skills : Excellent verbal and written communication for stakeholder and vendor interactions.
  • Organizational Skills : Ability to manage multiple procurement activities simultaneously.
  • Attention to Detail : Ensuring accuracy in procurement processes and documentation.
Qualifications and Experience :
  • Education : Bachelor’s degree in IT, Business Administration, or related fields.
  • Experience :
  • 2–4 years of experience in IT procurement or a related role.
  • Experience working with IT vendors and suppliers.
  • Familiarity with procurement software/tools is a plus.
  • Certifications :
  • Relevant certifications such as Certified Professional in Supply Management (CPSM) or ITIL are advantageous.
