Role Summary

Job Title: Stores & Dispatch Associate

This is a dynamic and challenging role that requires an individual with excellent organizational and communication skills to manage day-to-day store operations, coordinate dispatch activities, support commercial documentation, and maintain accurate data records.

Key Responsibilities
  1. Store Operations Management:

  • Receive, inspect, stack, and issue raw materials and consumables in a timely manner to ensure smooth operations.

  • Maintain accurate daily inward and outward stock registers to track inventory levels and identify any discrepancies.

  • Conduct regular physical stock verification and reconcile differences to ensure accuracy and compliance.

Dispatch Coordination:

  • Prepare dispatch challans, invoices, and e-way bills in accordance with company policies and procedures.

  • Coordinate with the logistics team for vehicle placement and loading schedules to ensure timely delivery of goods.

  • Maintain dispatch records, track material movement, and ensure documentation compliance prior to shipment.

Commercial Support:

  • Record purchase and sales entries in ERP or Excel accurately and promptly to ensure up-to-date records.

  • Prepare and maintain documentation for GRN, PO, Gate Pass, etc., as per company requirements.

  • Coordinate with vendors and transporters for invoice follow-ups and delivery notes to ensure smooth transactions.

  • Maintain and reconcile commercial records for accuracy and compliance.

Data Analysis and Reporting:

  • Enter daily production, dispatch, and material movement data into the system for analysis and reporting purposes.

  • Prepare reports on inventory status, pending dispatches, and consumption trends to inform business decisions.

  • Share MIS and summary sheets with the central team as per defined formats to ensure transparency and accountability.

  • Digitize manual records to ensure audit readiness and compliance.
