At Ennoble Social Innovation, we are seeking a skilled Document Control Specialist to join our team. This is a fantastic opportunity for someone with a strong background in report writing and document preparation.
About the RoleWe are looking for an individual who can create high-quality proposals, reports, and other professional documents that meet tight deadlines and align with our organization's goals.
The ideal candidate will have a proven track record of producing comprehensive project proposals, need assessment reports, impact reports, closure reports, and annual reports.
Responsibilities- Proposal Documents:
- Create comprehensive project proposals that outline objectives, scope of work, timelines, budgets, and expected outcomes.
- Collaborate with internal teams to gather accurate information and tailor proposals accordingly.
- Ensure consistency in branding, format, tone, and messaging across all proposal documents.
- Manage the timely submission of proposals and coordinate follow-up communications.
- Review and proofread all proposals before submission.
- Conduct detailed need assessments to identify project gaps and opportunities for growth.
- Compile findings into comprehensive reports that outline challenges, opportunities, and recommended actions.
- Collaborate with stakeholders to gather data through interviews, surveys, focus groups, or other methods.
- Ensure recommendations are actionable, data-driven, and aligned with organizational objectives.
- Document and analyze the impact of projects using qualitative and quantitative data.
- Validate data accuracy and ensure credibility before including it in reports.
- Create visually appealing representations of data, such as graphs and charts.
- Tailor impact reports to suit different audiences.
- Write clear narrative summaries of results, highlighting key outcomes and insights.
- Create comprehensive closure reports summarizing key deliverables, budgets, outcomes, and lessons learned.
- Coordinate with internal teams to ensure all project aspects have been documented and archived.
- Highlight key challenges faced during the project and solutions implemented.
- Ensure proper storage and accessibility of project documentation.
- Collaborate with leadership to compile the organization's annual report.
- Highlight critical metrics in an easily digestible format for different stakeholders.
- Create a compelling narrative underscoring the organization's mission and impact.
- Manage the timeline for production and distribution of the annual report.
- Work closely with cross-functional teams to collect data and ensure document accuracy.
- Regularly communicate document statuses and manage approval processes.
- Actively resolve bottlenecks and align team priorities to meet deadlines.
- Ensure consistency in document formatting, language, and style across reporting materials.
- Continuously identify opportunities to improve documentation processes and standardize templates.
- Suggest and implement tools and technologies to streamline documentation workflows.
- Conduct regular documentation audits to ensure compliance with best practices.
We are looking for an individual with a Bachelor's degree in Communications, Technical Writing, Public Administration, Business, Public Relations, or a related field.
A minimum of 3 years of experience in report writing, document preparation, or similar roles in non-profit organizations, public sector, or grant management is required.
The ideal candidate will possess strong written and verbal communication skills, advanced organizational skills, and proficiency in Microsoft Office (Word, Excel, PowerPoint).
