We are seeking a skilled Operations Manager - Facilities and Office Administration to oversee the smooth day-to-day running of our office, ensuring that all facilities and systems are well-managed and that employees work in a safe and efficient environment.

This is a key role within our organization, requiring strong organizational skills, attention to detail, and excellent communication abilities. The successful candidate will be responsible for managing various aspects of the office, including facilities, vendors, and daily operations.

Key Responsibilities:

  • Facilities Management:
    • Manage electricity, water, internet, CCTV, printers, fire safety, and other office utilities to ensure they are functioning properly and efficiently.
    • Ensure preventive maintenance, quick breakdown resolution, and vendor SLA compliance to minimize downtime and maximize productivity.
  • Daily Office Operations:
    • Oversee housekeeping, pantry, stationery, front desk, security, and visitor management to maintain a clean and comfortable working environment.
    • Monitor hygiene, consumables, and office cleanliness standards to ensure they meet our high expectations.
  • Vendors, Leases & Projects:
    • Maintain a reliable vendor bench by negotiating costs, tracking AMCs, and monitoring service quality to ensure we get the best value for our money.
    • Coordinate lease agreements, office fit-outs, repairs, and landlord escalations to ensure our office remains up-to-date and functional.
  • Bills, Cash & Records:
    • Verify bills and reconcile petty cash to ensure accurate financial records and prevent discrepancies.
    • Maintain records for leases, insurance, licenses, and safety certificates to stay compliant and avoid fines.
  • Compliance & Safety:
    • Keep NOCs, insurance, safety certificates, and first-aid kits up to date and audit-ready to ensure our workplace remains safe and compliant.
  • Reporting & KPIs:
    • Prepare monthly MIS reports: spend vs budget, incidents, vendor scorecards, SLA compliance, and risks/fixes to provide insights into our operations and identify areas for improvement.
    • Track KPIs: utility uptime, hygiene audit scores, ticket closure times, and budget adherence to measure our performance and make data-driven decisions.
  • After-Hours Readiness:
    • Ensure late-shift office readiness and provide on-call support for urgent issues to ensure our business continues to run smoothly 24/7.

Requirements:

To be successful in this role, you will need a minimum of 10+ years of experience in facilities or office administration, with stable tenure and clean references. You must have hands-on experience with utilities, IT/office infrastructure, vendors, and housekeeping. Strong negotiation, documentation, and Excel/email skills are also essential. Trustworthiness with keys, cash, and confidential information is crucial.
