Automation Specialist Role

We are looking for an experienced Automation Specialist to join our team. The ideal candidate will have a strong background in no-code automation platforms and experience with workflow design.

Job Description:

The successful candidate will be responsible for designing, building, and deploying end-to-end automation systems that streamline back-office operations. This includes replacing manual admin processes with reliable automations that meet compliance standards.

Key Responsibilities:

  • Design and implement document automations (receipts, contracts, audit packs, authority forms).
  • Build Slack command workflows (/receipt, /contract, /auditpack) for one-click actions.
  • Configure and optimize Pipedrive CRM (fields, automations, deal stages).
  • Automate document generation (Google Docs → PDF → email → Drive storage).
  • Integrate DocuSign for seamless e-signature workflows.
  • Automate onboarding workflows for Property Management tools.
  • Route leads from funnels and classify them via AI.
  • Build compliance workflows (intake checklists, missing-doc reminders, SLA trackers).
  • Develop dashboards & reporting for KPIs, marketing attribution, and pipeline tracking.
  • Ensure all workflows follow security, compliance, and reliability standards.
  • Provide documentation, diagrams, and runbooks, plus training for internal users.

Requirements:

  • Proven experience with no-code automation platforms.
  • Strong knowledge of Slack integrations and app workflows.
  • Experience with CRM automation.
  • Familiarity with Google Workspace automation.
  • Knowledge of DocuSign API/integration.
  • Ability to integrate with Property Management tools.
  • Understanding of compliance-sensitive workflows.
  • Ops/Systems mindset: able to map messy business processes into structured workflows.
  • Strong communication skills, excellent documentation habits.

Nice to Have:

  • Experience with AI-driven automations.
  • Familiarity with Australian property or SMSF compliance.
  • Prior experience building error handling + monitoring dashboards.
