About the Role

The Administrative Assistant will play a vital role in ensuring the smooth day-to-day operations of our office. This includes providing administrative support to our Business Unit or program, coordinating with housekeeping staff to ensure daily cleaning of office premises, and maintaining staff/visitor/consultant movement registers.

  • Coordinate with housekeeping staff to maintain a clean and tidy office environment.
  • Maintain accurate records of staff movements, visitors, and consultants.
  • Ensure timely repair and maintenance of office equipment.

This role involves a range of tasks that require strong organizational and communication skills. The successful candidate will be able to manage multiple tasks, prioritize duties, and interact with colleagues and visitors in a professional manner.

Responsibilities

The Administrative Assistant will be responsible for:

  • Ensuring meeting rooms are well arranged for meetings, including seating arrangements, stationery, and refreshments.
  • Monitoring office inventory items and conducting regular stock checks to match inventory records.
  • Timely replenishing office supplies, such as stationery, pantry items, and toiletries.
  • Collecting and distributing incoming and outgoing mail, packages, and documents.

The successful candidate will have excellent time management skills and be able to work independently with minimal supervision.

Qualifications and Requirements

To be considered for this role, you will need to meet the following qualifications:

  • High school diploma plus 1-year experience or equivalent combination.
  • Experience in providing administrative support, including maintenance of office premises, managing housekeeping, local logistics support for meetings, and office inventory management.
  • Basic computer literacy.
  • Ability to manage multiple tasks, prioritize duties, and interact with colleagues and visitors in a professional manner.
