Responsibilities

As a Financial Operations Specialist, you will be responsible for managing accounting, receivable management, and other financial operations in our Accounting & Finance department. Your key responsibilities will include:

  • Managing day-to-day accounting in Zoho books, including updating transactions and performing reconciliations.
  • Preparing and sending invoices to customers, following up on timely collections, and handling other receivable tasks.
  • Accurately applying payments to customer accounts based on provided information, invoices, and remittance advice.
  • Daily reconciliation of cash receipts, bank deposits, and customer accounts to ensure accuracy and completeness.
  • Investigating and resolving discrepancies between payment amounts, customer records, and invoices.
  • Collaborating with internal stakeholders, including sales and customer service teams, to address payment-related inquiries and resolve customer issues.
  • Identifying and escalating any potential issues or irregularities in cash transactions to the appropriate department.
  • Preparing regular cash application reports, bank reconciliations, and other financial reports as needed.
  • Working with vendors and internal teams to ensure proper billing by the vendor.
  • Maintaining accurate records of all transactions, including updating customer accounts, vendor accounts, and preparing related reports.
  • Assisting with month-end and year-end closing activities related to books of accounts in accordance with general accounting processes.
  • Staying updated on industry trends, best practices, and regulatory requirements related to cash application and financial transactions.
  • Withholding customer agreements and masters for billing.
  • Helping build new financial systems by working closely with management and customer teams.
Requirements

To succeed in this role, you'll need:

  • A minimum of 3-4 years' experience in managing accounting and receivable operations in growing companies.
  • A Bachelor's degree in Accounting, Finance, or a related field.
  • Proven work experience as a Cash Application Specialist, Accounts Receivable Clerk, or in a similar role.
  • Strong understanding of accounting principles and financial processes.
  • Proficiency in using financial software and tools, such as Zoho books, MS Excel, Google Suite.
  • Excellent attention to detail and accuracy in data entry and record keeping.
  • Strong analytical and problem-solving skills.
  • Effective communication and interpersonal skills, with the ability to collaborate with cross-functional teams and interact with customers.
  • Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
  • Knowledge of relevant regulations and compliance standards related to cash application and financial transactions (a plus).
