Job Description:

The key to a successful project launch is in the details. As an Admin Manager, you will be responsible for ensuring that every aspect of our site is ready for action.

We're looking for someone with exceptional organizational skills and attention to detail to join our team as an Admin Manager. In this role, you will be responsible for ensuring smooth administrative and operational readiness for our projects.

Your duties will include identifying suitable staff accommodation/staff rooms close to project sites, coordinating with vendors, contractors, and suppliers to ensure timely setup of furniture, fixtures, and utilities, conducting pre-launch site inspections to verify operational readiness (cleanliness, safety, utilities, equipment), maintaining liaison with local authorities, landlords, and service providers for smooth execution of administrative tasks, ensuring procurement and availability of required materials (stationery, uniforms, housekeeping items, etc.), preparing and maintaining site readiness checklists and reports for management approval, handling travel, accommodation, and logistical arrangements for staff during launch phase, managing petty cash, admin budgets, and expense records for site setup, and ensuring compliance with company policies, safety standards, and statutory requirements.

You will also support operations team with any ad-hoc administrative requirements during pre- and post-launch phases.

Requirements:
  • Bachelor's degree in Administration, Management, or related field.
  • 3–5 years of experience in facilities management, administration, or site coordination (hospitality/F&B industry preferred).
  • Strong negotiation, vendor management, and problem-solving skills.
  • Ability to handle multiple sites and work under tight deadlines.
  • Proficient in MS Office and basic reporting tools.
  • Willingness to travel and work flexible hours during project launches.
