Job Overview

We are seeking a highly skilled Business Operations Manager to support our organization's growth. The ideal candidate will have extensive experience in online software and technical tools, with a passion for technology and a commitment to delivering high-quality results.

This role is ideal for someone who thrives in the tech space and enjoys supporting business growth. The successful candidate will lead a team of contractors that manage funnels, execute email campaigns, update websites, design and implement workflows of an Applicant Tracking System.

Key Responsibilities:

  • Develop, refine, and maintain internal systems, SOPs, and workflows to drive operational efficiency
  • Set up and optimize tools, software, and automations to streamline processes
  • Track and improve documentation, filing systems, and knowledge hubs to ensure accessibility
  • Evaluate and enhance performance across platforms like Monday.com, GoHighLevel, Make.com, and Zapier to maximize output
  • Monitor system uptime and implement process improvements to minimize downtime
  • Lead strategic projects from kickoff to completion, ensuring timely delivery and budget adherence
  • Plan, execute, and track key initiatives to drive business outcomes
  • Define, track, and report KPIs—starting with a 30-60-90 day plan for the bookkeeping team to measure progress
  • Coordinate task assignments and manage project workflows across platforms to maximize collaboration
  • Liaise with stakeholders and external consultants to implement marketing and tech strategies to drive growth
  • Foster a culture of feedback, coaching, and collaboration to drive employee engagement
  • Keep the team motivated, supported, and accountable without micromanaging
  • Lead hiring, onboarding, and performance reviews to ensure talent alignment
  • Track team response time and workflow capacity to optimize resource allocation
  • Ensure clear roles and expectations across virtual teams to drive accountability
  • Act as a liaison between contractors, stakeholders, and business leaders to facilitate communication
  • Align daily operations with long-term business strategy to drive sustainable growth
  • Analyze performance metrics and KPIs to guide operational decisions
  • Use data analysis and reporting to inform business decisions and drive impact
  • Prioritize resource allocation based on capacity and business needs to maximize ROI
  • Oversee seamless onboarding/offboarding and proactive client communication to drive customer satisfaction
  • Deliver a standout client experience through thoughtful systems and reliable service
  • Maintain operational excellence that drives referrals and rave reviews
  • Anticipate operational risks and implement proactive mitigation strategies to minimize downtime
  • Manage resources effectively to support digital initiatives and drive business outcomes
