Scheduling Specialist

About the Role:

This position is responsible for maximizing field consultants' time with clients and developing trusting relationships with assigned field staff. The successful candidate will manage the timeliness of assigned orders, coordinate production schedules, and provide exceptional customer service.

The ideal candidate will have strong organizational skills, attention to detail, and excellent communication abilities. They will work closely with internal teams to resolve issues and ensure efficient scheduling processes.

This role requires a team-player who can work independently and prioritize tasks effectively. A solid understanding of Microsoft Office applications, specifically Excel and Outlook, is essential. Additionally, proficiency in MS 365 and proprietary business systems is required.

Responsibilities:
  • Organize and schedule field visits by overseeing workload and calendars;
  • Communicate with clients and coordinates visit times;
  • Prepare and distribute visit agendas; works with internal teams to resolve problems with visiting a client's site.
Requirements:
  • 6 months to 1 year of experience required to perform essential job functions;
  • Customer service and work scheduling or strongly correlated work experience;
  • Good communication skills, both oral and written;
  • Team-player, with ability to work independently;
  • Problem-solving abilities;
  • Attention to detail, self-motivated, solid math aptitude and analytical skills;
  • Time management, flexibility/adaptability to change, works well under pressure;
  • Ability to multi-task;
  • Customer service oriented;
  • Bilingual skills are a plus;
  • Proficiency in usage of MS 365 and ability to learn and understand proprietary business systems and workflow tools;
  • Fluent reading/writing English;
  • Prefer additional language skills: French, Spanish, German, Portuguese;
  • Other, but 4 Year College Degree/Bachelors preferred. Combination of education and work experience will be considered;
