Job Summary:

The ideal candidate will provide top-level administrative support to CXOs, being well-organized and comfortable scheduling meetings and responding to emails on their behalf. They should also be able to draft documents and assist the executive with any necessary meeting preparations.

About the role/Job overview:

This position entails handling office-management duties, making travel arrangements, handling calendar events, organizing reports and documents, answering phone calls, setting up meetings, and other similar tasks.

Responsibilities and duties:

  • Ambitious individual who shadows founders, prioritizes schedules, and ensures every task is managed tactfully.
  • Serves as the first point of contact for the Founder with internal/external clients.
  • Manages the Founder's meetings and appointments.
  • Books and manages travel arrangements, including accommodations and transportation, balancing cost and time efficiency while processing expenses.
  • Comfortable in a fast-paced environment with multiple tasks and projects at hand.
  • Manages scheduling/updating calendars, including agendas, email, phone calls, client management, and other company logistics.
  • Coordinates complex scheduling and calendar management, as well as content and flow of information.
  • Should be well-versed with negotiations, gathering data & providing inputs/feedbacks.
  • Maintains professionalism & ability to maintain confidentiality of information related to the company and its employees.
  • Strong literacy and verbal reasoning and proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel). Organizes and maintains data.
  • Confident, proactive, self-motivated and organized approach.
  • Supports and develops internal & external stakeholder relationships.

Skills & Qualifications:

  • At least 2-3 years of experience as an Executive Assistant to directors/founders/VP
  • Exceptional planning and time management skills
  • Excellent verbal and written communication skills
  • Discretion and confidentiality

Estimated Salary: $55,000 - $65,000 per annum, based on location and industry standards.
