Job Summary
We seek an organized and detail-oriented Administrative Coordinator for International Business Operations for our Ahmedabad office. This position offers extreme growth potential as we continue to expand our global operations. The ideal candidate is skilled in both administrative and communication tasks, with proficiency in Microsoft Office Suite and Google Workspace tools.
This role requires a focus on project completion rather than strict daily timelines, though standard work hours are from 9:00 AM to 6:00 PM IST, with flexibility depending on project demands. We provide Indian holidays off as per the company's employee handbook, bonuses based on company performance, and opportunities for professional development and clear growth paths.
Key Responsibilities
- Office Administration: Manage daily office operations, including scheduling meetings, handling correspondence, and maintaining office supplies.
- Sourcing Coordination: Assist in the sourcing process by coordinating with vendors and suppliers, managing purchase orders, and updating databases.
- Documentation: Prepare and manage reports, sourcing documents, contracts, and invoices for client and vendor communications.
- Vendor Management: Maintain relationships with vendors and ensure timely follow-up on orders, deliveries, and inquiries.
- Client Support: Provide back-office administrative support for communication with US clients, ensuring professionalism and accuracy.
- Record Keeping: Maintain data entry, update records, and assist in any special projects related to back-office support.
- Team Coordination: Collaborate with the team to support day-to-day activities and ensure smooth office workflow.
- Event and Meeting Support: Organize and assist with meetings, virtual calls, and team events as needed.
Requirements and Qualifications
- Bachelor's degree in Business Administration, Commerce, or a related field.
- Proven experience (1–3 years) in an administrative or coordination role, preferably in an international or sourcing-related company.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills in English.
- Ability to work independently and handle confidential information with discretion.
- Familiarity with procurement/sourcing processes is a plus.
