Document Management Specialist

 

The ideal candidate will be responsible for maintaining and controlling project documents, ensuring they are accurate, complete, and up-to-date. This includes coordinating project deliverables, enforcing document management procedures, and performing quality checks on contractor deliverables.

 

Responsibilities:

  • Control and update project documentation: Maintain accurate and complete records of project-related documents.
  • Maintain the Document Distribution Matrix (DDM): Ensure that all relevant stakeholders have access to the necessary documents.
  • Coordinate project deliverables flow: Report on progress and issues related to project deliverables.
  • Enforce Document Management procedures: Implement and maintain document control procedures to ensure compliance with company policies.
  • Validate Master Document Registers (MDRs): Verify the accuracy of MDRs and ensure they are up-to-date.
  • Perform quality checks on contractor deliverables: Review and verify the quality of contractor-submitted documents.
  • Maintain the Company MDR: Ensure that the company's MDR is accurate and up-to-date.
  • Assign document numbers and metadata: Assign unique document numbers and metadata to ensure easy tracking and retrieval.
  • Participate in project meetings: Attend project meetings to discuss project progress and address any issues.
  • Assist with project deliverables handover: Assist with the handover of project deliverables to stakeholders.

 

Requirements:

  • Graduate Diploma/Bachelor's Degree: A graduate diploma or bachelor's degree in a relevant field such as engineering or technology is required.
  • 3-6 Years Experience: At least 3-6 years of experience in a similar role is required.
