We are seeking an experienced and skilled Administrative Specialist to join our team. This individual will be responsible for managing day-to-day administrative operations of the office, overseeing procurement and inventory of office supplies and assets, liaising with external vendors, service providers, and building management, ensuring smooth functioning of facilities, equipment, and utilities, maintaining records of bills, payments, petty cash, and vendor contracts, coordinating company travel, accommodations, and meeting logistics, maintaining accurate documentation and filing systems (physical & digital), and assisting HR with onboarding/offboarding, employee attendance, and leave tracking.

Responsibilities:
  • Manage day-to-day administrative operations, including general office administration, record-keeping, and customer service.
  • Oversee procurement and inventory of office supplies and assets, ensuring timely delivery and quality control.
  • Liaise with external vendors, service providers, and building management to resolve issues and ensure smooth operations.
  • Maintain accurate records of bills, payments, petty cash, and vendor contracts to ensure financial compliance.
  • Coordinate company travel, accommodations, and meeting logistics to support business needs.
  • Maintain accurate documentation and filing systems to ensure efficient access to information.
  • Assist HR with onboarding/offboarding, employee attendance, and leave tracking to ensure compliance with company policies.
Required Skills and Qualifications:
  • Graduate degree in any discipline (Bachelor's degree required)
  • 3–5 years of proven experience in office administration or operations
  • Proficient in MS Office Suite (Word, Excel, Outlook)
  • Excellent organizational, coordination, and communication skills
  • Strong problem-solving abilities and attention to detail
