Job Description

We are seeking a highly organized and dynamic individual to join our team as a Business Operations Coordinator.

The successful candidate will be responsible for providing exceptional support to our founders, ensuring seamless execution of projects and initiatives.

Key Responsibilities:
  1. Calendar & Travel Management:
  • Manage calendars, schedule meetings, and prioritize engagements.
  • Coordinate domestic and international travel, including bookings, itineraries, and travel logistics.
  • Anticipate scheduling conflicts and propose solutions proactively.
Project Coordination & Management:
  • Track, manage, and follow up on project timelines, deadlines, and deliverables.
  • Coordinate cross-functional teams and ensure smooth execution of initiatives.
Minutes of Meeting & Documentation:
  • Attend meetings with founders and key stakeholders, take detailed minutes, track action items, and ensure timely follow-ups.
  • Maintain organized records and project documentation.
Task & Deadline Tracking:
  • Monitor ongoing tasks and projects, send reminders, and escalate delays to ensure accountability and timely completion.
Exploring Tools, Technology & Process Improvement:
  • Identify, evaluate, and implement tools, AI solutions, and technology to improve workflows and efficiency.
  • Recommend process improvements across teams and initiatives.
Communication & Stakeholder Management:
  • Act as a point of contact for internal teams, ensuring clarity and alignment on project objectives.
  • Prepare concise updates and reports for the founders.
Required Skills and Qualifications
  1. 3-5 years of experience in executive support, project coordination, or related roles.
  2. Strong organizational, multitasking, and time-management skills.
  3. Excellent attention to detail and ability to track multiple tasks simultaneously.
  4. Exceptional communication and interpersonal skills for cross-functional collaboration.
  5. Proficiency in project management tools (ClickUp, Trello, Notion) and Microsoft Office.
  6. Curious, tech-savvy, and proactive in exploring new tools and AI solutions for process improvement.
  7. Adaptable and comfortable taking ownership of tasks without waiting for direction.
  8. Eager to grow the role beyond traditional EA responsibilities.
