Invoicing Trainee Role

We are seeking a skilled and detail-oriented Invoicing Trainee to join our team. As an Invoicing Trainee, you will play a key role in maintaining financial accuracy by ensuring timely and precise invoicing.

Main Responsibilities:

  • Prepare and issue invoices to customers on time.
  • Meet invoice delivery timelines and deadlines.
  • Enter invoices into customer portals for seamless processing.
  • Submit invoices electronically for swift payment clearance.
  • Familiarize yourself with customer-specific invoicing requirements to provide exceptional service.
  • Carefully review each field on invoices before submission to avoid errors.
  • Ensure all necessary support documents are attached to invoices.
  • Update the Navision system with invoice status updates.
  • Maintain accurate records of invoice submissions and customer interactions.
  • Collaborate closely with the payroll and invoicing teams to ensure smooth operations.
  • Send account statements to customers promptly.
  • Reconcile self-billed cases with approved timesheets efficiently.
  • Handle invoice rejections and adjustments professionally.

Requirements:

  • A minimum of 0-1.5 years of experience in invoicing.
  • A commerce or finance background, preferably with a B.Com/M.Com/BBA/MBA degree.
  • Excellent written and oral communication skills to effectively interact with customers and colleagues.
  • Hands-on experience with Microsoft Excel formulas, V-lookup, and Pivot Table for data analysis and management.
  • Strong analytical and logical skills to identify and resolve issues promptly.
  • Fundamental knowledge of accounting principles to ensure accurate invoicing and financial record-keeping.
