Job Description

We are seeking a dedicated and efficient Personal Assistant to provide comprehensive administrative support. The successful candidate will play a pivotal role in ensuring the smooth operation of our organization by effectively managing tasks, coordinating schedules, and maintaining open communication channels.

Key Responsibilities
  • Calendar Management: Manage and maintain executives' calendars, scheduling appointments, meetings, and conferences.
  • Communication: Attend and coordinate Zoom/online meetings, prepare and organize documents, presentations, and take minutes during meetings and distribute summaries to relevant stakeholders.
  • Administrative Support: Handle incoming communication, including emails, calls, and correspondence, and respond or redirect as necessary.
  • Expense Management: Assist in managing and tracking expenses, invoices, and budgets.
  • Organizational Skills: Maintain an organized filing system of paper and electronic documents.
  • Confidentiality: Uphold a strict level of confidentiality.
  • Travel Arrangements: Organize and coordinate travel arrangements, including bookings and itineraries for both domestic and international travel.
  • Research and Data Gathering: Conduct research and gather data for various projects and reports.
  • Vendor Management: Identify and liaise with vendors, negotiating contracts, and ensuring timely delivery of services.
  • Multitasking: Ability to multitask and prioritize daily workload.
Requirements
  • Experience: Proven experience as an Executive Assistant or in a similar administrative role.
  • Communication Skills: Excellent communication and interpersonal skills with the ability to interact with people at all levels of the organization.
  • Organizational Skills: Exceptional organizational and time management skills.
  • Technical Skills: Proficiency in business analytical tools/software, including Microsoft Office, Google Workspace, and scheduling tools.
  • Attention to Detail: Detail-oriented with a focus on accuracy and quality.
  • Confidentiality: Ability to handle sensitive and confidential information with integrity.
  • Project Management: Experience in project management is a plus.
  • Travel Arrangements: Previous experience in handling travel arrangements and event coordination is advantageous.
  • Language Skills: Fluency in English is a must.
Qualifications
  • Education: Any Graduate/Bachelor's in English/Management or a related field is preferred.
