Job Overview

We are seeking a highly organized and dynamic Administrative Professional to provide strategic support to our Director & Admin. This role requires strong coordination, discretion, and the ability to manage multiple priorities efficiently.

Key Responsibilities:

  • Manage the Director's calendar, appointments, and travel schedules with precision and attention to detail.
  • Serve as a liaison between the Director and internal/external stakeholders, fostering strong relationships and effective communication.
  • Prepare reports, presentations, and correspondence with accuracy and professionalism, ensuring timely delivery and high-quality output.
  • Conduct research and provide insightful analysis to support informed decision-making.
  • Handle confidential information with utmost discretion, maintaining confidentiality and trust.
  • Assist in managing strategic projects and follow-ups to ensure timely execution and successful outcomes.

Administrative Leadership

This role requires the ability to oversee day-to-day office operations for efficiency and productivity, ensuring seamless administrative processes and high-quality outputs.

Key Responsibilities:

  • Coordinate meetings, events, and conferences, including logistics and documentation, to ensure smooth execution and minimal disruption.
  • Maintain organized office records, documentation, and databases, ensuring accurate and up-to-date information.
  • Manage procurement and vendor relationships for office supplies and services, optimizing costs and improving operational efficiency.
  • Monitor administrative budgets and ensure cost-effective operations, minimizing waste and maximizing value.
  • Ensure compliance with company policies and administrative best practices, maintaining a positive and productive work environment.

HR & Coordination

This role also involves assisting in employee onboarding and coordinating with HR for administrative formalities, ensuring a smooth transition and effective integration into the team.

Key Responsibilities:

  • Facilitate interdepartmental coordination for smooth business operations, fostering collaboration and open communication across teams.
  • Maintain essential employee records and handle general HR queries, providing accurate and timely responses.

Qualifications & Skills

To succeed in this role, you will require:

  • Bachelor's degree in Business Administration, Management, or a related field.
  • Minimum 3+ years of experience as an Executive Assistant, Administrative Officer, or similar role.
  • Strong organizational and time-management skills, with the ability to prioritize tasks and manage competing demands.
  • Excellent communication and interpersonal abilities, with a proven track record of building strong relationships and collaborating effectively with stakeholders.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook), with experience in project management and office administration tools desirable.
  • Able to multitask, prioritize effectively, and work in a fast-paced environment, maintaining a high level of professionalism and discretion.
