Event Project Coordinator

We are seeking a seasoned and innovative professional to spearhead end-to-end wedding and luxury event management projects. The ideal candidate will have hands-on expertise in client servicing, creative execution, and technical project management.

About the Role:

  • Event Conceptualization & Execution
  1. Develop and execute event concepts from idea generation to flawless on-ground delivery.
  2. Plan, manage, and coordinate logistics for small to mid-scale weddings, ensuring seamless execution.
Project Oversight & Management
  1. Lead and oversee the complete planning and production process of events, focusing on precision, creativity, and high-quality aesthetics.
  2. Coordinate with production teams, vendors, and on-ground staff to ensure timely and efficient execution.
Creative Coordination & On-Ground Execution
  1. Work closely with creative and design teams to align visual concepts with event objectives.
  2. Ensure smooth translation of design elements into on-ground realities.
Client Servicing & Stakeholder Management
  1. Act as the primary point of contact for clients, ensuring clear communication, timely updates, and exceptional client satisfaction throughout the event lifecycle.
Vendor & Team Management
  1. Liaise with vendors, including decorators, caterers, entertainment agencies, makeup artists, and hospitality teams, to ensure seamless coordination.
  2. Manage internal and external teams, crew schedules, and define clear roles, timelines, and responsibilities.
Innovation & Trend Alignment
  1. Stay informed about emerging trends, technologies, and experiential formats.
  2. Continuously integrate new ideas to enhance event value and client engagement.

Requirements:

  • 3-5 years experience in event management, specifically in weddings and small-to-mid-scale lifestyle events.
  • Strong understanding of creative event design, fabrication, and operations.
  • Excellent interpersonal, organizational, and multitasking skills.
  • Ability to work in a fast-paced, deadline-driven environment.
