Job Description

We are seeking a highly skilled and experienced Purchasing Manager to join our team. As the Assistant Manager of Purchasing, you will be responsible for ensuring the smooth and efficient operation of the Purchasing department.

  • Purchasing Procedures: You will ensure familiarity with purchasing policies and procedures, process purchase orders following due authorization from management, and make purchases according to established standards.
  • Team Supervision: You will supervise and coordinate the work of the Purchasing team to ensure smooth operations.
  • Supplier Management: You will follow up on supplier insurance coverage and ensure compliance with global policy requirements. You will also maintain good relationships with all hotel departments and suppliers.
  • Market Price Surveys: You will conduct market price surveys regularly in coordination with the Cost Controller and Executive Chef. You will compare prices with other hotels to obtain the best quotations.
  • Competitive Quotations: You will ensure competitive quotes are obtained as per company policy and review all purchase requests before processing purchase orders.
  • Contract and Vendor Management: You will ensure that sourcing center approval is received before initiating tenders for purchases exceeding $100,000. You will conduct regular vendor visitations to manage high-risk suppliers.
  • Month-End and Reports: You will assist in preparing month-end reports and maintain an organized system for filing contracts, purchase orders, bidding documents, etc. You will ensure that all documentation (purchase orders, invoices, delivery dockets) is forwarded to Accounts Payable on time.
  • Cost Control: You will assist the Executive Chef in minimizing food costs and closely monitor purchasing decisions for cost-effectiveness.
  • Compliance: You will ensure that all national or global purchasing agreements are adhered to and that any government regulations (such as those related to licensing and customs) are followed.
  • Safety and Risk Management: You will minimize the risks of accidents by ensuring correct work practices are followed and that the area is free of hazards.
  • Handling Requests and Inquiries: You will ensure timely, efficient, and friendly handling of all requests and inquiries related to purchasing.

  • Proven ability to supervise and coordinate a team, ensuring efficiency.
  • Excellent organizational skills, with the ability to handle multiple tasks and meet deadlines.
  • Ability to negotiate and communicate effectively with suppliers and hotel departments.
  • Experience in managing procurement processes and ensuring compliance with company policies.
  • Strong attention to detail in preparing reports and maintaining documentation.
  • Knowledge of cost control procedures and vendor management.
  • Ability to handle requests and inquiries in a professional and friendly manner.
