Accounts Receivable Specialist Job Description

We are seeking a skilled Accounts Receivable Specialist to manage client invoices, customer statements, and payment processing. The ideal candidate will have prior night shift experience and strong expertise in accounts receivable processes.

The successful candidate will be responsible for generating, reviewing, and distributing client invoices, preparing and reviewing customer statements and bills, and processing incoming payments. They will also monitor receivable balances, track overdue accounts, and follow up with clients for timely collections.

Key Responsibilities:

  • Generate accurate client invoices and ensure compliance with company policies.
  • Prepare and review customer statements and bills to maintain accuracy of financial records.
  • Process and record incoming payments, applying them to appropriate accounts.
  • Monitor receivable balances, track overdue accounts, and follow up with clients for timely collections.

Payment Processing & Account Management:

  • Investigate and resolve payment discrepancies, billing issues, and customer queries.
  • Ensure swift resolution to maintain positive client relationships.

Reporting & Reconciliation:

  • Prepare accounts receivable reports including aging analysis and collection activities.
  • Process account adjustments, issue credit memos, and support reconciliations with other departments.

Customer Dispute Resolution:

  • Handle disputes, deductions, and chargebacks with professionalism.
  • Ensure prompt resolution to maintain positive client relationships.

Compliance, Documentation & Controls:

  • Maintain organized and confidential records of invoices, receipts, and correspondence.
  • Ensure compliance with internal controls and financial regulations.

Process Improvements & Collaboration:

  • Participate in process improvement initiatives within accounts receivable.
  • Collaborate with cross-functional teams to enhance overall efficiency.
