Job Title: Operations Coordinator

The role of a HSTC Operations Coordinator is crucial in ensuring the smooth operation of High-Stakes Test Centers.

Key Responsibilities:
  • Coordinate test center scheduling across the network, reviewing upcoming availability and capacity requirements.
  • Collaborate with Workforce Management to forecast speaking examiners' allocation.
  • Monitor test center utilization and recommend adjustments or expansions based on demand.
  • Manage accurate invoice submissions for test centers, verifying exam volumes and facilitating timely payments.
  • Coordinate internal teams to manage unforeseen events and minimize impact on candidates and stakeholders.
  • Oversee CCTV monitoring at test centers to ensure ongoing compliance with regulatory standards.
  • Handle requests from test centers regarding changes in setup or personnel.
  • Proactively identify quality-related observations or opportunities for improvement and communicate them to relevant teams.
  • Conduct visits to test centers to assess operations, ensure adherence to company standards, and provide on-site support for continuous improvement.

Requirements:

  • Bachelor's degree in business administration, operations management, or a related field preferred.
  • Previous experience in a multi-cultured environment desired.
  • Excellent attention to detail and English language skills (Level C2).
  • Advanced computer literacy and strong organizational skills required.
  • Clear communication skills, both written and verbal.
  • Ability to work under pressure and meet deadlines.
  • Experience in liaising with multiple teams and departments.
  • Strong focus on compliance and industry standards.
  • Flexibility to travel as required to support operational needs.
