Financial Operations Specialist

We are seeking a detail-oriented Financial Operations Specialist to join our team. In this role, you will be responsible for maintaining accurate and up-to-date financial records, reconciliations, and reports.

  • Maintain and reconcile all financial records, including client invoices, reimbursements, payroll entries, and operating expenses.
  • Oversee weekly and monthly reconciliations of bank accounts, credit cards, and third-party platforms (e.g., Stripe, PayPal).
  • Track and report client retainers, bonuses, and ad spend reimbursements with accuracy.
  • Ensure accurate categorization of agency expenses and client-related transactions across multiple accounts.
  • Work closely with the Brand Management team to verify revenue recognition and service delivery alignment.
  • Support onboarding/offboarding financial setup for new and exiting clients.
  • Prepare monthly P&L statements segmented by department and client.
  • Maintain clean, audit-ready books using QuickBooks Online or similar platform.
  • Track accounts receivable and follow up on overdue invoices in coordination with Account Managers.
  • Support tax preparation and liaise with external accountants and legal teams as needed.
  • Maintain detailed documentation and SOPs for all financial processes.
