Financial Operations Manager Job Description

This role involves managing the day-to-day financial operations of multiple locations. The ideal candidate will have 3+ years of experience in SMB or franchise bookkeeping, with proficiency in QuickBooks Online and hands-on experience with at least one POS system.

The responsibilities include owning daily posting and month-end close for multiple locations, reconciling bank/credit card/merchant accounts, and integrating data from various systems. The candidate should have a working knowledge of U.S. GAAP basics, sales tax, payroll journal entries, and multi-state nuances.

The ideal candidate will be detail-obsessed, organized, and comfortable owning deadlines across multiple clients. They will also have strong Excel/Google Sheets skills and be able to build simple KPI packs.

Key Responsibilities:
  • Multi-Unit Financial Management
    • Owning daily posting and month-end close for multiple locations; maintaining standardized chart of accounts by brand.
    • Reconciling bank/credit card/merchant accounts and third-party delivery or marketplace deposits (e.g., DoorDash/Uber Eats, Shopify/Amazon) including fees/chargebacks.
    • Matching POS sales to deposits and resolving over/short cash variances.
  • Revenue, COGS, and Inventory Management
    • Recording daily sales summaries (net of discounts, comps, refunds, taxes, tips).
    • Tracking inventory/COGS and waste; posting landed costs; helping implement perpetual or period inventory where applicable.
    • Managing deferred revenue (e.g., gift cards, prepaid packages/memberships) and redemptions.
  • Accounts Payable/Accounts Receivable & Cash Control
    • Running three-way match for vendor bills (PO/invoice/receipt) where used; coding shared costs across locations.
    • Processing payments, credit memos, and vendor statements; managing W-9 collection and 1099-NEC vendor lists.
    • Setting and monitoring cash-handling controls and deposit cadence.
  • Payroll & Labor Management
    • Preparing payroll inputs (hours, tips, PTO) and reconciling payroll journals; coordinating with providers (ADP, Gusto, Paychex).
    • Tracking labor % by location/department and accruing payroll taxes/benefits as needed.
  • Compliance & Taxes
    • Preparing sales/use tax workpapers across states; coordinating e-filings (experience with Avalara/TaxJar a plus).
    • Supporting CPA with 941/940, state filings, and annual returns; maintaining audit-ready records.
  • Reporting & Unit Economics
    • Deliver location P&L, balance sheet, cash flow and consolidated roll-ups on a 4-5-4 retail calendar or monthly close.
    • Building simple KPI packs: sales mix, AOV, labor %, COGS %, prime cost, ad-fund %, royalty %, occupancy %, EBITDA.
    • Flagging anomalies and actionable insights (price/margin leakage, fee creep, under-depositing, rising food/labor trends).
