Key Responsibilities
Administrative Support
- Manage and maintain the Country Business Head's calendar, scheduling meetings, appointments, and travel arrangements efficiently.
- Coordinate and organize internal and external meetings, ensuring all necessary materials and agendas are prepared in advance to facilitate effective communication.
- Handle and respond to email correspondence, draft replies, and prioritize communications for the Country Business Head.
- Maintain accurate and confidential records, files, and documentation in a well-organized manner.
Operational Support
- Act as a liaison between the Country Business Head and various departments to ensure clear communication and follow-ups on key tasks and projects.
- Coordinate with stakeholders for reports, presentations, and updates required by the Country Business Head, ensuring timely completion.
- Assist in tracking business performance metrics and preparing reports or presentations as needed to inform strategic decision-making.
- Manage special projects or initiatives assigned by the Country Business Head, prioritizing tasks to meet deadlines.
Communication & Stakeholder Management
- Serve as the first point of contact for the Country Business Head, handling inquiries and directing them appropriately to resolve issues promptly.
- Build strong relationships with key internal and external stakeholders to facilitate effective communication and collaboration, promoting a positive working environment.
- Represent the Country Business Head professionally in correspondence and meetings, maintaining a high level of professionalism and decorum.
Travel & Event Coordination
- Plan and coordinate domestic and international travel arrangements, including visas, accommodations, and itineraries, ensuring seamless execution.
- Organize and manage logistics for events, conferences, or offsite meetings attended by the Country Business Head, ensuring successful outcomes.
Confidentiality & Professionalism
- Maintain confidentiality and handle sensitive information with discretion, upholding the highest standards of professionalism.
- Demonstrate a high level of professionalism and maintain a positive attitude in all interactions, representing Aurolab positively.
Qualifications & Skills
- Education: A Bachelor's degree in Business Administration, Management, or a related field.
- Experience: Minimum 12-15 years in a similar role assisting Business Head/CEO preferably in the pharmaceutical industry.
- Exceptional organizational and time-management skills, with the ability to prioritize effectively and manage multiple tasks simultaneously.
- Strong communication skills, both written and verbal, with the ability to draft professional correspondence and presentations.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools is an advantage.
- Knowledge of business intelligence and advanced excel is required.
- High degree of confidentiality, integrity, and discretion.
- Ability to multitask and thrive in a fast-paced environment, adapting to changing priorities and deadlines.
