
Trainee Payroll Specialist

As a Payroll Trainee, your core responsibility is to ensure accurate and timely processing of timesheets.
- Key Responsibilities:
- Verify hours worked, leave taken, and overtime for accuracy and compliance.
- Manage the payroll department's mailbox, ensuring timely responses to queries and organizing incoming timesheets.
- Double-check all data entries for inconsistencies or errors, spotting discrepancies and ensuring accuracy before processing.
- Maintain flawless records by accurately saving timesheets and updating Excel trackers, cross-verifying data and ensuring all files are organized.
- Identify and communicate any special payroll instructions to the payroll team to ensure they are applied correctly during processing.
- Assist in preparing supporting documentation for client invoices, ensuring that all necessary timesheet and payroll data is available and correctly formatted for billing purposes.
- Update and maintain payroll records, ensuring they are complete, accurate, and stored securely for future reference and audits.
- Handle sensitive employee information, maintaining strict confidentiality and following data protection protocols to safeguard payroll data.
Required Skills and Qualifications
- Experience: 1–2 years of experience in payroll processing or a similar corporate role.
- Analytical Skills: Analyze data, identify inconsistencies, and resolve issues efficiently, with strong problem-solving skills.
- Attention to Detail: Be meticulous in reviewing data, spotting errors, and ensuring all records are accurate and compliant with regulations.
- Communication: Strong verbal and written communication skills for interacting with team members, responding to queries, and documenting processes clearly and professionally.
- Tech Savvy: Proficiency in Microsoft Excel, including functions like VLOOKUP, pivot tables, and data validation, with familiarity with payroll software or ERP systems advantageous.
- Team Player: Be comfortable working in a collaborative environment, supporting colleagues, and contributing to a positive and productive team culture.
