Job Overview

The Operations Manager at Architeca Design Build Firm is responsible for overseeing the execution of residential construction and interior design projects from initial design to final handover. This role requires strong leadership, technical expertise, and a client-centric approach to ensure timely delivery within budget and to the highest quality standards.

This position involves managing cross-functional teams, including Site Engineers, Architects, and contractors, acting as the main point of contact for clients. Regular site visits are required to monitor progress, resolve issues, and ensure quality.

In this role, you will lead by example, demonstrating exceptional quality standards in both design and execution. You will maintain open communication with clients, ensuring their needs are met and expectations exceeded.

Key Responsibilities:

Project Planning and Execution

• Develop detailed project plans, ensuring timelines, budgets, and resources are aligned with client expectations and company standards.
• Oversee the end-to-end project execution, from initial design to final handover, ensuring all phases meet deadlines and quality requirements.
• Coordinate with design, procurement, and execution teams to ensure smooth project workflows and seamless delivery.

Team Leadership and Coordination

• Lead and manage cross-functional teams, including Site Engineers, Architects, and contractors, ensuring efficient task delegation and accountability.
• Provide mentorship, training, and regular performance reviews to team members, fostering a collaborative and growth-oriented environment.
• Ensure proper coordination between internal departments (Design, Procurement, Sales) to meet project objectives.

Client Communication and Relationship Management

• Act as the primary point of contact for clients, providing regular updates on project progress, timelines, and any issues that may arise.
• Manage client expectations and provide timely, transparent communication regarding any changes or delays.
• Foster strong, long-term relationships with clients, ensuring high levels of satisfaction and repeat business.

Quality Assurance and Compliance

• Conduct site visits regularly to monitor the quality of work and ensure it aligns with project specifications and standards.
• Identify and resolve any quality issues or discrepancies early in the process, ensuring projects adhere to safety and building codes.
• Take charge during the final stages of the project to ensure all snags are resolved and the project is handed over to the client in pristine condition.

Resource and Financial Management

• Oversee project budgeting and cost control, ensuring that projects stay within the approved budget and financial targets.
• Approve purchase orders for materials, equipment, and subcontractor services, managing resources efficiently.
• Track project expenditures, report discrepancies, and identify cost-saving opportunities without compromising quality.

Documentation and Reporting

• Maintain accurate records of project activities, including contracts, permits, inspections, and progress reports.
• Prepare and present regular reports to senior management on project status, including timelines, budgets, and quality metrics.
• Ensure all project documentation is organized, complete, and easily accessible for audits or client reviews.

Site Management and Travel

• Ensure projects are delivered on time, within budget, and meet the quality standards through regular site inspections.
• Travel to multiple project locations as needed to oversee site activities, provide direction to the team, and resolve on-site issues.

Key Performance Indicators (KPIs):

1. On-Time Delivery: Ensure 95% of projects are delivered on time, adhering to the original project schedules.
2. Budget Adherence: Maintain a maximum 5% deviation from project budgets across all projects.
3. Client Satisfaction: Achieve a minimum client satisfaction score of 90% based on project completion and communications.
4. Quality Compliance: Ensure 98% compliance with internal quality standards and client specifications.
5. Team Performance: Achieve 90% of team goals as defined in individual KPIs.

Qualifications and Skills:

Education:
• Bachelor's Degree in Civil Engineering, Architecture, or related field.
• Certification in Project Management or Quality Assurance is a plus.

Experience:
• 5-7 years of experience in project management or operations in the construction or interior design industry, with at least 2-3 years in a leadership or managerial role.
• Proven track record of managing complex residential construction and interior design projects.

Technical Skills:
• Proficiency in project management tools (e.g., MS Project, Primavera).
• Knowledge of construction processes, building codes, safety regulations, and quality standards.
• Familiarity with design tools (AutoCAD, Revit) and interior design specifications is an added advantage.
