Job Title: HR & Compliance Coordinator

As a vital member of our team, you will play a key role in ensuring seamless onboarding processes for US-based employees and contractors. Your primary responsibility will be to coordinate the end-to-end onboarding process, guaranteeing timely completion of documentation, background checks, system access, and exit formalities in compliance with all regulatory requirements.

Key Responsibilities:
  • Onboarding Support: Collaborate closely with internal teams to provide comprehensive support during the employee onboarding process. Ensure that all necessary documents are completed accurately and within timelines.
  • Background Verification Coordination: Work diligently to ensure the successful completion of background screenings by coordinating with vendors and internal teams.
  • Compliance Documentation: Maintain up-to-date employee records, guaranteeing accurate completion and storage of compliance-related documents (e.g., I-9, E-Verify, client-specific forms) per organizational and legal standards.
  • MSP & Client Portal Management: Navigate and maintain various MSP portals (e.g., Fieldglass, Beeline), ensuring timely submission and status tracking of onboarding and compliance workflows.
  • Process Documentation: Contribute to the development and maintenance of standard operating procedures (SOPs) for key HR, onboarding, and compliance workflows.
  • Federal & Client-Specific Compliance: Apply your understanding of US federal employment regulations and client-specific guidelines to ensure adherence to compliant practices across onboarding and documentation.
  • Client & Vendor Coordination: Serve as a point of contact for day-to-day communication with clients, vendors, and candidates regarding compliance, onboarding status, and documentation queries.
  • Audit Readiness Support: Prepare and organize compliance records and documentation to support internal and external audits.
Requirements:
  • 1–3 years of experience in US Staffing Operations, HR Coordination, or Compliance Support.
  • Hands-on experience with MSP portals (e.g., Beeline, Fieldglass, Coupa) is essential.
  • Working knowledge of US federal employment regulations (I-9, E-Verify, contractor compliance, etc.).
  • Experience preparing and maintaining SOPs or process documentation.
  • Familiarity with background check portals and onboarding processes.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Excel, Word, and document tracking tools.
  • Highly organized, detail-oriented, process-driven, and a quick learner.
