
Operations Manager

We are seeking an experienced and skilled Operations Supervisor to oversee daily support activities, plan efficient administrative procedures, and ensure all operations run smoothly.
The ideal candidate will have excellent leadership skills, strong communication abilities, and the capacity to work independently with minimal supervision.
- Key Responsibilities:
- 1. Planning and Coordination: Develop and implement administrative procedures, identifying opportunities for process improvement, and ensuring all activities align with business objectives.
- 2. Staff Performance: Evaluate staff performance, provide guidance to maximize efficiency, and ensure all team members are working towards common goals.
- 3. Inventory Management: Monitor office supplies, purchasing, and inventory levels to ensure adherence to budgetary constraints and minimize waste.
- 4. Facilities Services: Oversee maintenance activities, tradespersons, and facility management to maintain a safe and healthy working environment.
- 5. Office Operations: Organize and supervise various office activities, including recycling, renovations, and event planning to promote a positive work environment.
- 6. Housekeeping and Security: Manage housekeeping, security, pantry, and cleanliness services to ensure a clean and secure working space.
- 7. Policies and Regulations: Ensure all operations adhere to policies and regulations, and implement measures to prevent non-compliance.
- 8. Information Flow: Facilitate the smooth flow of information within the organization to support business operations and decision-making.
- 9. Negotiations: Conduct negotiations with vendors and travel agents to secure optimal deals and contracts.
- 10. Travel Arrangements: Manage employee calendars, arrange travel itineraries, and accommodations (domestic and international) to minimize travel-related issues.
- 11. Vendor Development: Select and manage vendors, coordinate deliveries, and ensure commitments are met to maintain high-quality service standards.
- 12. Purchase and Inventory: Purchase, reorder, and maintain housekeeping supplies and other inventory to ensure adequate stock levels and minimize unnecessary purchases.
- 13. Asset Maintenance: Maintain and upkeep all office assets to ensure they remain functional and in good condition.
- 14. AMCs: Manage Annual Maintenance Contracts to ensure timely and cost-effective maintenance of office equipment and facilities.
- 15. Government Relations: Establish and maintain good relations with government bodies and police officials to ensure compliance with regulatory requirements.
- 16. Expense Tracking: Track expenses to ensure compliance with cost budgets and identify areas for cost savings.
- 17. MIS Reporting: Submit reports on administration expenses to senior authorities to inform decision-making and drive business growth.
- 18. EHS and Fire Safety: Implement EHS and fire safety measures to protect employees, customers, and assets from potential hazards.
Qualifications and Skills:
- 1. Independence: Ability to work independently with minimal supervision, taking ownership of tasks and responsibilities.
- 2. Documentation: Excellent documentation skills using MS Word, PowerPoint, Excel, etc., to create clear and concise reports and documents.
- 3. Interpersonal Skills: Strong interpersonal skills for effective communication with clients, colleagues, and management to build strong relationships and resolve conflicts.
- 4. Time Management: Good time management skills, including prioritizing, scheduling, and adapting as necessary to meet deadlines and achieve goals.
- 5. Communication: Excellent oral and written communication skills to articulate ideas, negotiate agreements, and facilitate collaboration.
- 6. Teamwork: Strong team player with expertise in admin support services, willing to lend a hand and contribute to team success.
- 7. Mailing and Drafting: Good mailing communication and basic drafting skills to create clear and concise letters, emails, and reports.
- 8. Proactivity: Proactive and reliable individual capable of performing well under challenging circumstances, demonstrating initiative and problem-solving skills.
