Operations Specialist - Administrative Support

We are seeking a highly organized and efficient Operations Specialist to oversee the day-to-day administrative operations, ensuring seamless functioning.

Key Responsibilities:

Facilities Management
  • Manage office infrastructure, supplies, housekeeping, and security to maintain a comfortable and productive work environment.
  • Maintain systems, equipment, and common areas in good working order to optimize operational efficiency.
Operational Coordination
  • Coordinate workflows across departments for seamless execution and ensure timely completion of tasks.
  • Support HR and Finance teams with operational requirements and provide data-driven insights for informed decision-making.
Vendor Management
  • Negotiate contracts and ensure timely payments/documentation to establish strong vendor relationships.
  • Handle procurement of supplies, IT equipment, and services within budget to maximize resources.
Employee Support & Logistics
  • Facilitate onboarding logistics (ID cards, seating, system allocation) to ensure a smooth transition for new employees.
  • Support employee travel, event logistics, and meeting arrangements to enhance the employee experience.
Events & Engagement
  • Coordinate logistics for company meetings, workshops, and offsites to foster collaboration and teamwork.

Required Skills & Competencies:

  • Strong organizational and multitasking ability to prioritize tasks effectively.
  • Excellent communication and vendor management skills to build strong relationships.
  • Proficiency in MS Office (Word, Excel, Outlook) to efficiently manage documents and data.
  • Problem-solving mindset with attention to detail to identify and resolve operational issues.

Qualifications:

  • Bachelor's degree in Business Administration, Management, or related field to develop foundational knowledge.
  • 3–5 years of experience in Administration/Operations to demonstrate operational expertise.
