Payroll Trainee Job Description

As a Payroll Trainee, your primary responsibility is to ensure accuracy and efficiency in payroll processing. You will be responsible for reviewing timesheets, managing the payroll department's mailbox, and maintaining data integrity.

  • Timesheet Review:

You will thoroughly review timesheets submitted on a weekly, fortnightly, or monthly basis to ensure all entries are accurate and compliant with internal policies and client-specific requirements.

This role is crucial in maintaining data accuracy, avoiding errors, and ensuring that all payroll-related information is handled efficiently and confidentially. By doing so, you help uphold our commitment to quality service and client satisfaction.

Your Key Responsibilities:

  • Timesheet Checking: Verify hours worked, leave taken, and overtime to ensure all entries are accurate and compliant.
  • Mailbox Management: Ensure timely responses to queries, organize incoming timesheets and documents, and maintain a clean and efficient communication flow.
  • Data Accuracy: Double-check all data entries for inconsistencies or errors and identify discrepancies.
  • Error-Free Processing: Maintain flawless records by accurately saving timesheets and updating Excel trackers.
  • Special Instructions: Identify and communicate any special payroll instructions to the payroll team.
  • Invoice Support: Assist in preparing supporting documentation for client invoices.
  • Record Maintenance: Update and maintain payroll records, ensuring they are complete, accurate, and stored securely.
  • Confidentiality: Handle sensitive employee information with discretion and follow data protection protocols.
  • Team Contribution: Work closely with other team members to meet deadlines and support shared goals.
  • Policy Adherence: Follow all internal policies and procedures related to payroll processing.
  • Report Assistance: Support the Payroll Supervisor by preparing and updating various reports.

Candidates with 1-2 years of experience in payroll processing or a similar corporate role. Analytical skills, attention to detail, strong communication skills, proficiency in Microsoft Excel, and a team player attitude are essential for this role.
