Job Title: Software Asset Manager

The Software Asset Management Specialist will be responsible for the end-to-end lifecycle of software assets, including procurement, license management, compliance, renewals, and vendor coordination.

Key Responsibilities:

  • Manage the entire software asset lifecycle from procurement to disposal.
  • Collaborate with IT, procurement, legal, and desktop support teams to ensure software usage aligns with contractual, financial, and regulatory requirements.
  • Process software requests via digital portals.
  • Validate license availability and assign licenses through vendor portals.
  • Initiate license harvesting or procurement when required.
  • Maintain accurate records of license assignments, usage, and compliance.
  • Track contract expirations using dashboards.
  • Coordinate with legal and procurement for contract reviews and renewals.
  • Ensure contracts are active before creating purchase requisitions.
  • Maintain documentation for audit readiness.
  • Create and manage purchase requisitions and POs.
  • Collaborate with the Center of Excellence (COE) for PR processing.
  • Ensure all approvals are documented.
  • Track PO status and update stakeholders accordingly.
  • Use shared mailboxes for all vendor interactions.
  • Coordinate with vendors for quotes, license keys, and order confirmations.
  • Coordinate with desktop engineering and local IT for software packaging and deployment.
  • Manage add-ons and plugin deployments.
  • Conduct regular license usage reviews and reclaim unused licenses.
  • Ensure all actions are documented.
  • Support internal and vendor audits by providing accurate license data.
  • Maintain and update SAM dashboards for renewals and compliance tracking.
  • Export and format data for dashboard imports.

Required Skills & Qualifications:

  • Bachelor's degree in IT, Business, or related field.
  • 3–6 years of experience in Software Asset Management or IT Procurement.
  • Proficiency in SAP, Ariba, Asana, Remedy, and Microsoft 365 Admin Center.
  • Strong understanding of software licensing models and compliance.
  • Experience with vendor portals and contract management systems.
  • Excellent documentation, communication, and stakeholder management skills.
  • Ability to work independently and collaboratively in a team environment.
