Job Title: Financial Operations Specialist

At our organization, we are seeking a detail-oriented and analytical Financial Operations Specialist to join our Corporate Finance team. As a key member of our team, you will play a vital role in managing accounts payable and receivable functions, reconciling accounts, and ensuring accurate financial reporting.

In this position, you will be responsible for verifying, processing, and reconciling vendor invoices in a timely and accurate manner. You will also analyze and monitor accounts payable transactions to ensure compliance with company policies and procedures. Additionally, you will prepare and distribute regular financial reports, including expense summaries and aging reports.

To succeed in this role, you must have a strong foundation in finance, accounting, or business administration. You should also have experience with financial software, particularly QuickBooks, and Microsoft Office Suite, especially Excel. Your attention to detail, organizational skills, and ability to work independently will serve you well in this position.

Requirements:
  • Bachelor's degree in finance, accounting, business administration, or a related field.
  • QuickBooks experience.
  • Knowledge of Canadian taxes – HST, PST, PD7A, ROE.
  • Experience with Canadian full-time employees – Federal Tax, Provincial Tax, CPP, EI.
  • Experience with vendor payments.
  • Meticulous in verifying invoices from vendors/consultants prior to processing the payments.
  • Experience with MS Excel, Pivot, and scripting (VLOOKUP).

Key Responsibilities:
  • Verify, process, and reconcile vendor invoices in a timely and accurate manner.
  • Analyze and monitor accounts payable transactions to ensure compliance with company policies and procedures.
  • Prepare and distribute regular financial reports, including expense summaries and aging reports.
  • Maintain and manage relationships with vendors, addressing any payment issues or discrepancies promptly.
  • Ensure accuracy of financial data by maintaining and updating the accounts payable ledger.
  • Assist with internal and external audits by providing necessary documentation and explanations.
  • Identify opportunities for process improvements and implement changes to enhance efficiency and accuracy in accounts payable operations.
