Automation Specialist

We are seeking an experienced Automation Specialist to design, build, and deploy a comprehensive automation system that streamlines our operations.

  • Design and implement document automations (receipts, contracts, audit packs, authority forms) to enhance efficiency and productivity.
  • Develop Slack command workflows (/receipt, /contract, /auditpack, etc.) for seamless one-click actions.
  • Configure and optimize Pipedrive CRM (fields, automations, deal stages) to maximize sales potential.
  • Automate document generation (Google Docs → PDF → email → Drive storage) for secure and reliable delivery.
  • Integrate DocuSign for seamless e-signature workflows, ensuring compliance and security standards.
  • Automate onboarding workflows for Property Management tools (PropertyMe/MRI) to simplify the process.
  • Route leads from funnels (ClickFunnels/GoHighLevel) and classify them via AI-driven lead classification.
  • Build compliance workflows (intake checklists, missing-doc reminders, SLA trackers) to ensure reliability and security.
  • Develop dashboards & reporting for KPIs, marketing attribution, and pipeline tracking to inform business decisions.
  • Ensure all workflows follow industry-leading security, compliance, and reliability standards.

Requirements:

  • Proven experience with no-code automation platforms (Make.com/Integromat, Zapier, n8n, etc.).
  • Strong knowledge of Slack integrations and app workflows.
  • Experience with CRM automation (Pipedrive preferred).
  • Familiarity with Google Workspace automation (Docs, Drive, Sheets).
  • Knowledge of DocuSign API/integration.
  • Ability to integrate with Property Management tools (PropertyMe/MRI) & BGL Simple Fund 360.
  • Understanding of compliance-sensitive workflows (finance, property, or legal).
  • Ops/Systems mindset: able to map messy business processes into structured workflows.
  • Strong communication skills, excellent documentation habits.

Nice to Have:

  • Experience with AI-driven automations (lead classification, knowledge bots).
  • Familiarity with Australian property or SMSF compliance.
  • Prior experience building error handling + monitoring dashboards.
